Job Purpose:

To ensure accurate and efficient entry, verification, organization, and maintenance of data and documents across digital and physical formats. The role supports various departments by keeping records updated, generating reports, and safeguarding sensitive information.

Key Responsibilities:

1. Data Input and Management:

  • Accurately input data from physical documents, verbal instructions, or digital sources into company systems, spreadsheets, and databases.
  • Ensure that all data entered adheres to internal accuracy and formatting standards.

2. Data Verification and Correction:

  • Review data entries for completeness and accuracy.
  • Identify and correct errors, update outdated information, and resolve data inconsistencies.

3. File and Information Organization:

  • Organize and maintain digital files and physical documents in a logical, easily retrievable system.
  • Support documentation control processes by labeling and categorizing files appropriately.

4. Database Maintenance:

  • Regularly update and maintain existing records in internal databases.
  • Assist in the creation and maintenance of data backups to ensure data integrity and availability.
  • Monitor and report on database performance or irregularities, where required.

5. Confidentiality and Data Security:

  • Handle sensitive information, including client or employee records, with a high level of confidentiality.
  • Follow company data protection policies and procedures to prevent unauthorized access or data breaches.

6. Report Generation:

  • Compile and summarize data for internal reports.
  • Generate standardized or ad-hoc reports for departments as required.

Key Skills & Competencies:

  • Fast and accurate typing skills
  • Excellent attention to detail
  • Good knowledge of MS Excel, Word, and data entry software
  • Strong organizational and time management abilities
  • Familiarity with database systems and filing protocols
  • Ability to handle confidential information discreetly
  • Good communication skills for coordination across departments
