Role Objective:
The Accounts Payable Coordinator plays a critical role in ensuring timely and accurate processing of all invoices, expense claims, and vendor payments. This role supports the financial health of the organization by maintaining strong vendor relationships, adhering to internal control protocols, and ensuring compliance with KSA regulatory standards.
Key Responsibilities:
Invoice Management:
- Receive, review, and process vendor invoices accurately and in a timely manner.
- Ensure proper approvals and coding of invoices in accordance with company policies.
- Verify invoice details against purchase orders, delivery notes, and contracts.
Payment Processing:
- Prepare payment runs (cheques, wire transfers, bank transfers) in accordance with due dates.
- Coordinate with treasury for fund availability and disbursement.
- Ensure payments are posted accurately in the ERP system.
Vendor Management:
- Maintain up-to-date vendor records and payment terms.
- Resolve invoice discrepancies and respond to vendor inquiries promptly.
- Reconcile vendor statements and follow up on outstanding issues.
Reporting & Reconciliation:
- Assist in monthly and year-end closing processes related to payables.
- Prepare reports on accounts payable aging, forecasts, and cash flow.
- Support external and internal audits with relevant documentation.
Compliance & Control:
- Adhere to ZATCA and KSA VAT requirements for all payable transactions.
- Ensure adherence to company policies, approvals matrix, and financial controls.
- Participate in process improvement initiatives to enhance efficiency and accuracy.
Key Requirements:
- Bachelor's degree in Accounting, Finance, or a related field.
- Minimum 24 years of accounts payable or general accounting experience; experience in a transport or logistics company is preferred.
- Familiarity with KSA VAT regulations and ZATCA reporting.
- Experience working with ERP systems (SAP, Oracle, Zoho, or similar).
- Strong attention to detail, organizational, and analytical skills.
- Proficiency in MS Excel and finance-related tools.
- Bilingual (Arabic & English) preferred.
