Why does this role exist
This role exists to bring order, accuracy, and speed to a growing licensing program by centralizing the artwork submission and approval workflow, ensuring contractual compliance, and tightening cross-team communication. The Brand Licensing Coordinator will streamline processes, maintain licensor portals and tracking systems, and provide timely reporting so the team can meet tight retailer timelines. Ultimately, this position is being hired to reduce operational friction, improve audit readiness, and support on-time delivery across multiple licenses.

The Impact you'll make

Licensing Operations & Compliance
  • Oversee licensed product lifecycles from concept to distribution across multiple licenses
  • Ensure adherence to all contractual requirements and compliance guidelines
  • Provide product-related contractual support and maintain audit-ready documentation
Artwork Submission, Approvals & Portals
  • Coordinate and maintain licensor submission portals and product approval workflows
  • Track artwork, packaging, and asset submissions; follow through on feedback to resolution
  • Assist with placement charts and ensure accurate, current information in all systems
Tracking, Reporting & Data Integrity
  • Own product tracking sheets and licensing databases with meticulous, real-time updates
  • Assist the licensing team with product reporting, including sold items to retailers
  • Prepare and maintain dashboards/logs in Excel and Outlook for visibility across projects
Cross-Functional Coordination
  • Act as a resource to cross-functional teams, sharing up-to-date partnership/program info
  • Support communication and issue resolution across internal teams and licensors
  • Execute special licensing projects and related duties as assigned

Process Improvement & Tools
  • Identify gaps and streamline procedures for submissions, approvals, and data entry
  • Support the future rollout of project management tools (e.g., Monday.com, Asana)
  • Uphold strong organizational systems to combat operational disorganization

Skills, Knowledge and Expertise

Required:
  • Demonstrated knowledge/experience in brand licensing operations
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
  • Hands-on experience tracking submissions/approvals and maintaining licensor portals
  • Exceptional organization, attention to detail, and follow-through under tight deadlines
  • Ability to work Monday–Friday 9:00 AM–6:00 PM EDT, with potential shift to 12:00 PM–9:00 PM EDT
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home

  • Technical: Advanced Excel and Outlook tracking; accurate data entry; familiarity with licensor portals; working knowledge of Word and PowerPoint; exposure to PM tools (Monday.com/Asana) a plus

Work Setup:
  • Remote position

  • 40 hours per week
  • Monday–Friday, 9:00 AM–6:00 PM EDT initially; may shift to 12:00 PM–9:00 PM EDT
Compensation:
  • $7 per hour
