Job Description

  • Provide comprehensive personal assistance to the CEO, managing personal and business-related matters. This includes handling the CEO's personal and professional calendar, coordinating personal legal and treasury matters, and offering concierge services. Additionally, manage relationships with third-party service providers, including private offices, legal professionals, trustees, consultants, and other external stakeholders.
  • Operate with the highest level of discretion and professionalism, maintaining confidentiality in all matters. Demonstrate exceptional flexibility in time, with the ability to work late hours and weekends as needed. Efficiently juggle multiple tasks and projects, ensuring timely and effective execution of all responsibilities.

Responsibilities

Administrative Support:

  • Manage the CEO calendar, schedule appointments, and coordinate meetings.
  • Handle correspondence, including emails, letters, and phone calls.
  • Prepare a wide range of confidential reports, presentations, correspondence, memos, minutes, agendas or other documents.
  • Prepare agendas, attend meetings, and take minutes. Follow up on action items and ensure timely completion.
  • Maintain and organise filing systems, both digital and physical.
  • Assist with travel arrangements, including booking flights, accommodations, and ground transportation.

Personal Assistance:

  • Manage personal errands and tasks, such as shopping and event planning.
  • Handle personal correspondence and manage personal appointments.
  • Assist with managing personal finances, including bill payments and expense tracking. Manage daily expenses and prepare expense reports, ensuring follow-through with reimbursements and filing.

Project Management:

  • Assist with various projects, ensuring timely completion and high-quality results.
  • Conduct research and gather information for personal and business projects.
  • Liaise with other staff members, contractors, and external partners to facilitate project execution.

Communication Management:

  • Act as the first point of contact for all communications (emails, calls, letters), managing and prioritizing correspondence.
  • Draft and respond to emails and other communications on behalf of the CEO.
  • Maintain confidentiality and handle sensitive information professionally.

Qualifications

  • Degree in relevant field.
  • 12 + years of experience in providing executive support to C-level.
  • Excellent communication and organisation skills
  • Ability to prioritise and solve problems. Strong multitasking skills.
  • Fluency in English is a must.
  • Excellent organisational skills, exceptional attention to detail, and the ability to handle sensitive information with the utmost confidentiality.
  • Strong interpersonal skills and a proactive, problem-solving attitude.
  • Flexibility to adapt to the dynamic needs of the CEO and the business.
