Expediter plays a critical role in ensuring on-time material deliveries by establishing and maintaining positive relationships with vendors after Purchase Order is created, monitoring the orders delivery progress, resolving any issues, proactively following up to secure needed documents, and collaborating with both Vendors, Operations and Supply Chain teams to identify and address potential delivery delays.

Role Duties

Purchase Order Tracking Management

  • Tracks the issuance of POs done by the buyers and initiates communication with vendors to ensure adherence to commercial requirements, including schedule, document deliverables, and goods delivery.
  • Initiates email correspondence with the vendors outlining expectations, requirements, and key contacts upon PO issuance.
  • Oversees the order execution by periodically following up with vendors to confirm they are on track with the agreed-upon schedule and deliverables and providing necessary documents.
  • Manages PO closeout, including verifying invoice payment, receipt of all deliverables, and proper system registration of received goods.

Vendor Management And Communication

  • Coordinates logistics with vendors and ADES Logistics (when necessary) as shipment approaches to guarantee a seamless pick-up and delivery of goods.
  • Proactively addresses vendor issues, delays, or questions by working directly with them. When needed, escalate concerns internally to relevant ADES Teams (buyers, Procurement Managers, and other functions) to facilitate resolution and maintain vendor adherence to the schedule.

Process And Professional Development

  • Continuously strives to improve efficiency by proactively recommending, supporting, and implementing enhancements to expediting tools and systems.
  • Demonstrates a willingness to take on projects and tasks in rotations that provide maximum learning and growth opportunities.

Reporting

  • Maintains detailed records and vendor status updates within designated reporting systems.
  • Issues critical item reports weekly to summarize activities and status of orders.

Education & Experience

  • Bachelor's degree.
  • Minimum 0-2 years of experience preferably in the Oil & Gas field.
