The Role

The HR Shared Services Specialist is an important part of the Shared Services team. They handle visa, onboarding, compliance, and many HR administrative tasks. This role works as a central point of support, working with government agencies, outside partners, property HR teams, and service providers. The specialist makes sure employee documents and compliance steps are done correctly and on time. They help make the onboarding process easy and keep HR running smoothly across the company.

The HR Shared Services Specialist supports employees throughout their life cycle at the company; from recruitment and hiring, through onboarding, development, and retention, to offboarding when they leave. This role helps make sure all HR processes work well and that employees have a good experience from start to finish.

Key Areas of Responsibilities:

Please note that the responsibilities outlined below are not exhaustive. Red Sea Global Hospitality employees continuously innovate in caring for the needs of the business, their guests, and their colleagues. As an HR Shared Services Specialist, you will need to:

Visa and Work Permit Processing

  • Initiate and track visa applications and renewals via government platforms such as QIWA and MUQWEEM.
  • Coordinate payments related to visa processing and document attestations with Finance.
  • Liaise with candidates and designated agencies to provide guidance and ensure timely document submission.
  • Manage employment contract authentication and attestation processes with relevant government bodies.
  • Oversee preparation, dispatch, and receipt of all visa-related documentation.
  • Monitor visa approval status and communicate outcomes to all stakeholders promptly.

Onboarding Coordination and Compliance

  • Confirm employee start dates with candidates and property HR teams.
  • Coordinate housing and accommodation arrangements with Community Management and Housing teams.
  • Arrange temporary gate pass requests with Security teams.
  • Facilitate flight booking coordination and payment processing for new joiners.
  • Organize pre-arrival logistics such as airport transfers and welcome briefings.
  • Enroll new employees in medical and life insurance programs.
  • Schedule and track medical tests and Iqama processing steps, including payments and document handling.
  • Assist with SIM card issuance, fingerprint enrollment, national address registration, bank account setup, GOSI registration, and other compliance requirements.

General HR Shared Services Support and Administration

  • Maintain accurate employee records and ensure timely updates in HR information systems.
  • Prepare, organize, and file HR documents, contracts, and correspondence systematically.
  • Manage Shared Services inbox, promptly responding to employee and manager inquiries.
  • Coordinate meeting scheduling, interview arrangements, and training session logistics.
  • Support payroll by providing accurate employee data and resolving related queries.
  • Generate and distribute regular reports on shared services activities, compliance status, and process efficiency.
  • Collaborate with other HR functions and operational teams to resolve issues and continuously improve processes.
  • Perform additional administrative tasks as needed to support the Shared Services team and broader HR operations.

Key Qualifications

Education and Experience:

  • High school diploma or equivalent; degree in Human Resources, Business Administration, or related field preferred.
  • Basic knowledge of visa processing, onboarding, and HR compliance.
  • Strong organizational and communication skills.
  • Ability to work with government platforms and follow regulatory procedures.
  • Proficient with Microsoft Office and HR information systems.

Preferred Qualifications

  • Experience in HR shared services, visa coordination, or compliance roles.
  • Familiarity with Saudi government platforms (QIWA, MUQEEM, MOFA, Chamber of Commerce).
  • Experience working with expatriate onboarding and visa processing.

Key Performance Metrics

  • Accuracy and timeliness in initiating and managing visa and onboarding processes.
  • Effective coordination and communication with candidates, agencies, and internal teams.
  • Successful completion of all onboarding compliance requirements.
  • Positive feedback from candidates and HR teams on service quality.
  • Compliance with company policies and local labor laws.
  • Efficiency and accuracy in handling HR administrative tasks.
