Job Role :
An Office Manager provides high-level administrative support to senior executives, helping them manage their day-to-day activities, schedules, and tasks efficiently. This role involves multitasking, attention to detail, and excellent communication skills. The Executive Assistant acts as a liaison between the executive and other stakeholders, ensuring smooth operations within the organization.
Duties & Responsibilities :
- Organize and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize tasks and ensure the executives time is utilized effectively.
- Coordinate with internal and external stakeholders to manage time-sensitive requests.
- Screen and direct incoming calls, emails, and correspondence.
- Handle confidential information with discretion and professionalism.
- Schedule and organize meetings, including preparing agendas and materials.
- Take notes during meetings and prepare meeting minutes.
- Ensure all required documents and resources are available before meetings.
- Organize and maintain files, records, and documents in both physical and digital formats.
- Ensure documents are easily accessible and up to date.
- Assist in organizing company events, conferences, or seminars.
- Coordinate logistics and ensure the event runs smoothly.
Job Specifications :
- Diploma degree or bachelors degree in business, executive secretary or any related field.
- Experience as an executive assistant, administrative assistant, or similar role, preferably supporting senior executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other office tools. Experience with project management tools is a plus.
- Excellent organizational skills with the ability to manage multiple tasks and meet deadlines.
