Job Summary
NAGA is seeking a proactive and highly organized Projects Coordinator – Design Consultancy to support the successful coordination and delivery of multidisciplinary design projects. The successful candidate will work closely with Project Manager, Studio Heads, and design teams to manage project tracking, reporting, authority submissions, proposal coordination, subconsultant coordination, and payment tracking throughout the project lifecycle.
The ideal candidate will have experience within an architectural or engineering consultancy and possess excellent organizational, communication, and follow-up skills.
Key Responsibilities
Project Coordination
- Maintain project trackers, dashboards, submission logs, authority trackers, RFI logs, action lists, variation logs, payment trackers, and weekly project reports.
- Coordinate with internal design teams, clients, PMCs, Architects of Record (AORs), subconsultants, and internal support departments.
- Prepare meeting minutes, action lists, and follow-up logs.
- Monitor project progress and ensure timely completion of project milestones.
- Maintain organized project documentation and records throughout the project lifecycle.
Authority & Design Coordination
- Support authority submission tracking, comments closure, and resubmission coordination.
- Coordinate multidisciplinary design deliverables across all project stages.
- Assist in resolving project coordination issues and maintaining communication between stakeholders.
Subconsultant Coordination
- Coordinate quotations and proposals from subconsultants.
- Track offers and required documentation.
- Assist in preparing comparison sheets.
- Coordinate with Procurement and Contracts teams until appointments are finalized.
- Monitor subconsultant deliverables, invoices, payment milestones, and payment status.
Commercial & Payment Tracking
- Follow up on client invoicing, payment status, overdue payments, and maintain updated payment trackers.
- Assist in identifying additional services, scope changes, and variation opportunities.
- Support the preparation of variation orders by coordinating supporting documentation, tracking client instructions, maintaining variation logs, and preparing draft documentation for review.
Proposal Support
- Assist in proposal preparation by coordinating required inputs, submission deadlines, scope matrices, fee breakdowns, assumptions, exclusions, and internal responsibilities.
- Maintain proposal trackers and ensure submissions are completed within deadlines.
Qualifications
- Bachelor's degree in Architecture, Engineering, Construction Management, Project Management, or a related discipline.
- 2–3 years of experience within an architectural or engineering consultancy.
- Experience supporting multidisciplinary design consultancy projects.
- Basic understanding of design stages, authority submission processes, and project coordination.
- GCC experience is a plus.
