We are seeking a professional and customer-focused Secretary/Receptionist to serve as the first point of contact for visitors and clients, while providing administrative support to ensure smooth daily operations.

Role Description

To manage front-desk operations, provide administrative support, and ensure a welcoming, organized, and professional environment for clients, visitors, and employees. The Secretary/Receptionist plays a key role in maintaining smooth office workflows, supporting internal departments, coordinating communication, and representing Nexaira with professionalism and efficiency.

This role also involves handling administrative tasks, managing schedules, supporting documentation processes, and providing high-quality service that reflects the company's standards.

Main Duties & Responsibilities:

  • Greet visitors and clients with a professional and welcoming attitude.
  • Manage the reception area, ensuring it is presentable, organized, and aligned with company standards.
  • Answer phone calls, screen inquiries, and direct them appropriately.
  • Handle incoming and outgoing mail, emails, and courier services.
  • Manage meeting room bookings and ensure meetings are prepared with the required materials.
  • Assist in preparing basic documents, letters, reports, and forms as needed.
  • Maintain office supplies, stationery inventory, and coordinate replenishment.
  • Support administrative tasks such as filing, scanning, and maintaining organized records.
  • Assist internal departments with schedules, visitor coordination, and internal communication.
  • Coordinate with facility management for office maintenance and related needs.
  • Provide general support to management and team members for administrative tasks.
  • Uphold confidentiality, professionalism, and excellent customer service at all times.

Job Requirements:

Experience:

  • Minimum 24 years of experience as a Secretary, Receptionist, Administrator, or similar role. UAE experience is preferred.
  • Experience in technology, corporate offices, or professional service firms is an advantage.

Education:

Diploma or Bachelor's degree in Business Administration, Office Management, Communication, or a related field.

Technical Skills:

  • Strong proficiency in MS Office Suite and Google Suite.
  • Strong telephone etiquette and communication skills.
  • Experience with office equipment (printers, scanners, switchboard systems).
  • Ability to prepare basic documents and correspondence.
  • Strong organizational and time-management skills.

Work Schedule & Location:

Job Type:Onsite-full time

Base: Dubai

Work Schedule: 5 days a week, two days off.
