Job Description



This role has responsibility for ensuring that there is consistency in Office Operations and Cost Management across the India Offices, as well as focus on the smooth operation of the India office. You will be reporting directly to the Managing Director
Key duties:

  • Manage Office and Facilities management teams to ensure efficient delivery of services and adherence to processes.
  • Monitor office budgets and financial spend to achieve consistency and cost savings.
  • Oversee daily office maintenance, supplier contracts, and negotiate deals.
  • Identify and implement operational efficiencies to enhance productivity.
  • Maintain India office suppliers and contracts, ensuring compliance and cost savings.
  • Manage relationships with vendors and service providers for timely, cost-effective services.
  • Conduct regular meetings with Office Managers and ensure consistency in office operations and information cascade.
  • Lead business continuity meetings and maintain up-to-date plans.
  • Collaborate with cross-functional teams (Finance, IT, HR, H&S, BD, Marketing) to coordinate initiatives and ensure compliance with policies.
  • Respond to office-related queries and escalate to Office Director as needed.
  • Coordinate office moves and ensure alignment with recruitment and budget plans.
  • Conduct monthly management meetings to communicate operational updates and engage relevant departments.
  • Oversee office security and access systems, serving as key holder and 24-hour emergency contact.
  • Lead a team of Facilities personnel, monitor performance, and conduct annual performance development reviews.
  • Oversee the setup of new offices in accordance with company policies and government regulations.
  • Represent the company professionally to external stakeholders and ensure compliance with HSE and Quality standards.

Your skills and experience:
  • Bachelor's degree in Business Administration, Management, or a related field with 10-15 years of Experience.
  • Project Management Experience with the ability to demonstrate finance and budgeting experience.
  • Confident, proactive character with the ability to take the lead in challenging situations.
  • Previous experience of running the day-to-day operations of a busy department or team.
  • Advanced to Intermediate IT skills, especially in the use of Microsoft Office.
  • Extremely organised with the proven ability to prioritise effectively.
  • Good problem solver with experience of coordinating and managing tight deadlines.
  • Able to discern sensitive material and maintain confidentiality accordingly.
  • Diligent with good attention to detail and excellent communication skills.
  • Change management experience.
  • Facilities and operations experience.
  • Mentorship and direct line management.
