Job Description
- Prepare and develop periodic reports related to section complaints
- Daily and continuous coordination with the complaint coordinators in each division of the department and with the Customer Happiness Department team and the customer service specialist in the office of the Executive Director of the Agency
- Attend all meetings related to his tasks and responsibilities and confirm the representation of the section and contribute effectively to the discussions taking place in these meetings and to ensure the reflection of the role of the VLD in them in a professional manner
- Analyze the general situation of department complaints and propose solutions and corrective actions that would reduce the number of complaints and ensure the achievement of targets
- Coordination with the specialists of the Quality, Health, Safety & Sustainability Office in the CEO office
- Coordination with the operational department divisions to prepare and develop the policies related to each section and confirm their update in accordance with the plans drawn for that and follow up their status through the designated system with all relevant stakeholders and departments
- Any additional responsibilities as advised by the direct Line Manager or Head of Department
- Follow up the results of the quality audit on the Studies and Policies division and coordinate with the division's work team to close the recommendations, process the observations, confirm commitment and compliance with the agreed closing dates, and provide the supporting documents for the closure
- Permanent and continuous coordination with divisions in the department to prepare, develop and implement/execute the annual participation plan in external awards
- Prepare & develop the studies and research leading to improve the performance and achieving the designated KPIs
- Follow up on suggestions related to the Vehicle Licensing Department and coordinate with the concerned divisions to decide on the suggestions that are related to the scope of their work, and if the suggestion is accepted, follow up on the plan to start execution, implementation and update the concerned system with the developments of each suggestion
- Permanent and continuous coordination with the departments in the administration to prepare, develop and implement the annual plan for benchmarking
- Reviewing the policies and manuals received by the Vehicle Licensing Department from other agencies and sectors and make comments/observations on them in a way that serves the tasks, responsibilities, and scope of work of the Vehicle Licensing Department
- Commitment to attend the weekly meetings of the Vehicle Licensing Department leadership team with confirmation of the preparation of the necessary presentations including the necessary update on the axes that he is working on
- Follow up the results of the internal audit on the Studies and Policies division and coordinate with the division's work team to close the recommendations, process the observations, confirm commitment and compliance with the agreed closing dates, and provide the supporting documents for the closure
- Follow up the processes of the Studies and Policies Section and coordinate with the concerned specialist with competence to update the processes of the division or develop and prepare any new or new processes and enter them into the concerned system
