Job Description

Responsible for managing tendering operations, monitoring procurement portals, and supporting the end-to-end bid submission process. Acts as the central coordination point between BD, procurement, and leadership to ensure timely identification and submission of opportunities.

Key Responsibilities

Tendering Inbox & Opportunity Tracking

  • Manage the tendering inbox and review incoming RFPs/RFQs
  • Identify relevant opportunities and upload them to the RFP tracker
  • Maintain accurate and up-to-date tracking of all opportunities

Client Follow-ups & Tender Status Management

  • Proactively follow up with clients and procurement teams on all submitted tenders
  • Track tender status, including evaluation progress, clarification requests, and award timelines
  • Maintain continuous visibility on each opportunity through regular follow-ups
  • Ensure timely responses to client clarifications and additional requirements
  • Update internal stakeholders on tender progress, risks, and expected outcomes

Portal Monitoring & Management

  • Monitor procurement and vendor portals, including:
  • Etimad Platform
  • SAP Ariba
  • Download RFP documents, track updates, and monitor deadlines

Bid Submission Support

  • Coordinate with BD team and leadership on opportunities
  • Prepare and organize submission requirements and documents
  • Upload final submissions on portals within deadlines and ensure compliance

Vendor Registration

  • Register the company as a vendor on client platforms
  • Submit required documentation and maintain updated company profiles
  • Track and follow up on registration status

Internal Coordination

  • Communicate opportunities and updates with BD team and leadership
  • Follow up to ensure alignment and timely actions across teams

Requirements

Functional Background: Minimum of 2-3 years of experience specifically within a Procurement, Tendering, or Business Development Support department.

Government Procurement: Solid understanding of the Saudi Government Procurement Law and regulations.

Government Portals: High familiarity with government portals (specifically Etimad, SAP Ariba, etc.).

Technical Skills: Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).

Language: Arabic (fluent) and English (fluent).
