Administrative Assistant/ Front Office Executive (UAE Nationals only)

This position works out of our UAE location in the Abbott RapidDiagnosticsu2013 Infectious Diseases

This is a fixed term contract role for 6 months

What You'll Do

u2022 Provide general administrative and clerical support to the team.

u2022 Manage calendars, schedule meetings, and coordinate appointments.

u2022 Prepare and edit correspondence, reports, and presentations.

u2022 Maintain and organize physical and digital filing systems.

u2022 Handle incoming calls, emails, and other communications.

u2022 Assist in the preparation of regularly scheduled reports.

u2022 Order office supplies and maintain inventory levels.

u2022 Support the onboarding process for new employees.

u2022 Coordinate travel arrangements and expense reports.

u2022 Perform data entry and maintain accurate records.

u2022 Manage event planning and internal communications.

u2022 Take meeting minutes and track action items related to commercial meetings.

u2022 Work within well-established guidelines.

u2022 Submit Purchase Orders when required.

u2022 Perform other administrative tasks as needed.

u2022 Responsible for managing front office desk

u2022 Answer all incoming calls and redirect them when needed

u2022 Receive letters, packages and send them to appropriate destination

u2022 Monitor office supplies

u2022 Make supply orders when needed

u2022 Monitor and update records and files

u2022 Monitor and log office expenses and costs

Required Qualifications:

u2022 Bachelor's degree.

u2022 Preferred: Arabic- speaking (not mandatory)

u2022 2-3 years Proven experience in an administrative or office support role.

u2022 Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

u2022 Strong organizational and time-management skills.

u2022 Excellent written and verbal communication skills.

u2022 Ability to work independently and as part of a team.

u2022 Attention to detail and problem-solving skills.

u2022 Hands-on experience with office machines

u2022 In- depth knowledge of office management and bookkeeping

u2022 Excellent knowledge of MS Office (especially Excel and Word)

u2022 Great interpersonal and communication skills

u2022 Team player
