Role Description We are seeking an organized, proactive, and versatile Administrative Operations Executive / Operations Administrator / Office Operations Executive to streamline day-to-day business operations, optimize office facility management, and provide high-level operational support. In this mid-level corporate role, you will work closely with Operations Managers, Department Heads, HR Leads, Procurement Officers, and external service vendors to ensure a seamless work environment and efficient cross-departmental workflows. You will be responsible for managing facility services, coordinating office infrastructure and space planning, tracking administrative operating budgets, and overseeing external vendor SLAs (e.g., IT support, building maintenance, security, and cleaning). Responsibilities include drafting standard operating procedures (SOPs), supervising operational asset management, managing business travel and event logistics, auditing administrative expenses, and enforcing corporate compliance standards. Success in this position requires exceptional organizational leadership, sharp administrative problem-solving skills, proficiency in office productivity and ERP systems, strong negotiation abilities, and excellent cross-functional communication.

Qualifications

Education: Bachelor's degree or Diploma in Business Administration, Operations Management, Management Studies, Corporate Governance, or a related field.
Operations & Facility Management: Proven track record in office operations administration, facility oversight, lease administration, spatial management, and physical infrastructure coordination.
Vendor & Service Level Management: Hands-on experience sourcing, negotiating, and managing service agreements with external contractors, office suppliers, utility providers, and maintenance teams.
Process Optimization & SOP Execution: Capability to map administrative workflows, design operational guidelines, establish standard operating procedures (SOPs), and drive internal efficiency gains.
Budgeting & Expense Control: Experience tracking operating expenses (OpEx), auditing administrative vendor invoices, managing petty cash allocations, and assisting with annual departmental budget forecasts.
Asset & Inventory Administration: Ability to maintain enterprise asset registers, supervise IT/office equipment allocation, monitor consumable inventory replenishment, and execute periodic inventory audits.
Software & Systems Proficiency: Advanced competency in Microsoft Office 365 / Google Workspace tools, combined with practical exposure to ERP modules, facility management software, or ticketing platforms.
Data Reporting & Analysis: Intermediate-to-advanced proficiency in Microsoft Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS) for compiling operational performance metrics and spend reports.
