Project Finance & Contract Management - Responsibilities

Project Financial Management

Partner with platform leads and management teams to track, monitor, and report Build and Operate (B&O) financials.
Support project teams with development effort charge-outs, cost tracking, and financial reporting.
Work closely with managers on resource supply and demand planning.
Extract, analyse, and prepare timesheet and utilisation reports.
Track actual charges against approved monthly budgets and highlight discrepancies to Project Managers and Team Leads.
Prepare supporting documentation for the Finance Fixed Asset team for capital expenditure (CAPEX) charge-outs.
Support budget planning, forecasting, cost tracking, and financial reconciliation activities.

Contract & Procurement Management

Manage contract processing to ensure timely completion, appropriate approvals, and compliance with internal policies and procedures.
Create Purchase Requisitions (PRs) in Coupa to facilitate Purchase Order (PO) issuance to vendors.
Liaise with internal and external stakeholders to follow up on outstanding contracts, approvals, and signatures.
Review contracts to ensure alignment with banking guidelines, procurement standards, and governance requirements.
Follow up on Delegate of Authority (DOA) approvals and escalate delays where required.
Monitor contracts against approved budgets and ensure spending remains within financial controls.
Ensure contracts are processed using the correct PC Code, GL, and Fixed Asset (FA) codes to minimise payment and accounting reclassification issues.
Coordinate Contract Management Process (CMP) requirements for contracts exceeding $200K, including GST.
Track and manage Master Service Agreement (MSA) renewals to ensure continuity of vendor services.

Project & Management Support

Assist, advise, and follow up with Work Managers on project documentation, processes, reporting, and GENE updates.
Maintain accurate project financials, documentation, project statuses, and reporting information in GENE.
Coordinate contract lodgements with Group Procurement Services (GPS).
Track and submit accruals to Finance, ensuring all accruals are supported by valid documentation.
Prepare and consolidate management reports for major projects and programmes, ensuring data accuracy and completeness.
Support Build and Operate budget submissions for IBG and Future Ready platforms during annual budget exercises.
Review budget submissions for accuracy, completeness, and compliance with required guidelines.
Support monthly GLAO reconciliation and investigate discrepancies where required.
Assist with Strategy Cost Management (SCM) tracking, reporting, and cost analysis.

Requirements

Diploma or Degree in Business, Finance, Accounting, Project Management, or a related discipline.
Minimum 2 years of experience, preferably within the banking or financial services industry.
Proficient in Microsoft Office, particularly Excel and PowerPoint.
Good understanding of accounting principles, financial controls, budgeting, and cost management.
Strong analytical and critical-thinking skills, with the ability to understand, dissect, validate, and analyse complex information.
Meticulous and detail-oriented, with strong documentation, coordination, and follow-up skills.
Strong communication and stakeholder management skills, with the ability to work effectively across business and technical teams.
Able to multi-task, prioritise workloads, meet tight deadlines, and work effectively in a fast-paced environment.
Fast learner with the ability to work independently and with minimal supervision, while following established processes and guidelines.
Strong team player with a proactive and collaborative approach.
