Position Overview

We are seeking an organized, dependable, and detail-oriented Entry-Level Administrative Professional to support our remote operations and office administration functions.

This position assists with day-to-day administrative tasks, document management, scheduling, data entry, recordkeeping, internal communication, and operational coordination. The successful candidate will help ensure information is organized, assignments are tracked, and routine business processes are completed accurately and on time.

Previous professional administrative experience is not required. Training and ongoing guidance will be provided.

Key Responsibilities

Administrative & Office Support

Provide general administrative support to team members and supervisors.

Route documents and requests to the appropriate team members.

Operations Support

Assist with coordinating routine operational activities.

Update project, task, and operational trackers.
Monitor assigned work and provide status updates.

Assist with routine workflow handoffs between departments.
Compile basic operational summaries and reports.
Escalate unresolved issues to the appropriate team member.

Calendar & Meeting Coordination

Assist with scheduling meetings and appointments.
Send calendar invitations, reminders, and updates.
Help coordinate availability among team members.
Prepare basic meeting materials and agendas.
Take and organize meeting notes when requested.
Record action items and follow-up responsibilities.
Support virtual meetings, training sessions, and internal events.

Records & Document Management

Maintain organized electronic filing systems.
Upload, label, categorize, and archive documents.
Review records for completeness and basic accuracy.
Follow established file-naming and document-storage procedures.
Maintain document indexes, logs, and tracking records.
Retrieve authorized records when requested.
Organize templates, forms, policies, and reference materials.
Handle confidential information responsibly.

Data Entry & Reporting

Enter and update information in approved systems, spreadsheets, and databases.
Review data for accuracy, completeness, and consistency.
Identify missing or incorrect information.
Perform routine quality-control checks.
Update internal logs and tracking systems.
Assist with compiling information for basic reports.
Maintain accurate and current business records.

Communication & Team Support

Communicate professionally through email, chat, and virtual meetings.
Respond to routine internal inquiries.
Prepare basic emails, notices, and administrative communications.
Coordinate information between departments when needed.
Provide timely updates regarding assigned responsibilities.
Ask for clarification when instructions or information are incomplete.
Maintain dependable communication while working remotely.

Employee & Team Administration

Assist with routine administrative aspects of employee onboarding.
Help organize onboarding documents and resources.
Coordinate orientation or training schedules when assigned.
Maintain authorized employee-related administrative records.
Assist with distributing internal materials and information.

Required Qualifications

High school diploma, GED, or equivalent.
Basic computer and typing proficiency.
Familiarity with email, web browsers, word-processing software, and spreadsheets.
