Job Description

Primary objective:

The Academic Administrative Assistant primary responsibility is to act as the initial point of contact for telephone callers and visitors, providing administrative support to the office team. They make the safeguarding and well-being of all students their number one priority and follow the school's statutory policies. They demonstrate excellent customer service in all that they do, within a fast-paced work environment.

Areas of responsibility:

  • Answer incoming telephone calls courteously and put them through to the requested staff members or the appropriate staff according to the assistance required by the callers.
  • Receive and greet visitors to the school warmly and provide them with the appropriate information and assistance.
  • Realize and implement the emergency and evacuation procedures as required effectively.
  • Support the nurse with any medical evacuations or communication necessary for the school.
  • Maintain all areas of the Front Desk area including majlis, parents cafe, nannies cafe and liaise with FM to maintain refreshments for these areas and well-presented at all times, tidying up as necessary.
  • Liaise closely with other departments such as Security to coordinate accurate communication takes place for events and students arrivals/dismissals.
  • Realize the school's health and safety policies.
  • Assist with administrative tasks such as filing, data entry, and scheduling appointments.
  • Schedule and confirm appointments for faculty/staff with students/parents or other departments/schools as needed.
  • Manage the accurate collation of attendance records on isams.
  • Manage the accurate input of information onto the noor system.
  • Provide administrative support to the school office.
  • Undertake additional duties as and when required by the line manager.

Safeguarding:

  • The post holder will be required to safeguard and promote the welfare of children and young people and follow the school's safeguarding policies and the staff code of conduct. They will directly support the designated safeguarding lead as a priority to ensure the safety and wellbeing of all students at the school.

Qualifications:

  • Diploma Degree (essential).

Experience:

  • +2 years experience in a similar role.

Skills, Knowledge and Abilities:

  • Fluency in spoken English and Arabic is essential to this role.
  • Ability to build effective working relationships.
  • Ability to adapt and demonstrate flexibility.
  • Ability to organize, plan and prioritize effectively.
  • Data analysis skills.
  • IT proficiency including Microsoft Office and Google Suite.
  • Able to work under pressure and prioritize effectively.
  • Experience in engaging with the parent body.
