Position Overview
The Academic Appointments Operations Manager plays a key role in supporting the operations of the Academic Appointments Office within a higher-education institution. This position ensures the smooth execution of hiring, onboarding, contract administration, renewals, promotions, and data management related to faculty and academic staff.
Package - AED 15000/month
Key Responsibilities
Data, Reporting, and Systems Management
- Manage academic faculty and staff reporting, including headcount reports and system-generated data.
- Maintain and update information across systems such as Workday, Interfolio, Tableau, and internal reporting tools.
- Identify data discrepancies and coordinate corrections.
- Ensure data integrity to support institutional reporting and leadership decision-making.
Contract Administration & Operational Approvals
- Manage processes for administrative approvals related to contracts, renewals, promotions, tenure, and hiring plans.
- Track submissions to leadership offices and ensure timely responses.
- Maintain structured document workflows using automated reminders and communication tools.
- Safeguard confidential records and manage secure filing systems.
Process Improvement & Project Management
- Develop spreadsheets, databases, and workflows that enhance efficiency.
- Respond to internal data requests and prepare analytical reports and presentations.
- Support special projects assigned by leadership and drive process improvements across academic appointments operations.
Executive-Level Administrative Support
- Manage calendars, schedule meetings across multiple campuses,
- Oversee confidential academic planning documents, hiring plans, and budget files.
- Serve as a liaison with internal departments and academic divisions.
Required Qualifications
Experience
- Minimum 5 years of administrative experience.
- Experience in project management and business process improvement.
- Experience with academic staff, faculty, or higher-education administration (strong advantage).
- Experience handling large data systems or HRIS tools.
- Excellent analytical and data management skills.
- Strong working knowledge of HR, appointments, or academic systems (e.g., Workday, Interfolio, Monday.com).
