Duties and Responsibilities

- Oversee the day-to-day administrative operations of the organization.
- Develop, implement and maintain effective administrative policies, procedures and systems.
- Ensure smooth coordination of administrative services across departments and business units.
- Monitor administrative processes and identify opportunities for cost optimization and operational improvement.
- Maintain accurate administrative records, contracts and documentation.
- Manage office facilities, premises, utilities, maintenance and general workplace requirements.
- Coordinate preventive and corrective maintenance and ensure timely resolution of facility-related issues.
- Ensure offices and facilities are maintained to appropriate safety, hygiene and operational standards.
- Manage office space, seating arrangements, access control and other workplace requirements.
- Coordinate office relocations, expansions, renovations and related projects when required.
- Oversee government-related administrative processes and ensure timely completion of required documentation.
- Coordinate with relevant government authorities, free zone authorities and external service providers.
- Monitor trade licences, company registrations, permits, tenancy-related documents and other administrative renewals.
- Ensure all required government and regulatory documentation is maintained and renewed on time.
- Manage and monitor PRO activities and government liaison processes.
- Manage relationships with suppliers, contractors, service providers and other external vendors.
- Source quotations, negotiate commercial terms and evaluate vendor performance.
- Ensure service agreements, maintenance contracts and other administrative contracts are properly managed and renewed.
- Monitor service quality and resolve vendor-related issues in a timely manner.
- Identify opportunities for cost savings and improved service delivery.
- Oversee company vehicles, transportation arrangements and related administrative requirements.
- Coordinate vehicle registration, insurance, servicing, maintenance and renewals.

- 8–12+ years of relevant experience in administration, facilities or business support functions, with significant managerial experience.
- Strong experience in UAE administrative operations.
- Proven experience managing office administration, facilities, vendors and government-related processes.
- Experience managing administrative operations across Mainland and/or Free Zone entities.
- Experience in FMCG, manufacturing, trading, distribution or a large corporate/group environment is highly preferred.
- Strong knowledge of UAE government procedures and administrative requirements.
- Experience managing teams, budgets, vendors and multiple administrative functions.
- Strong negotiation, communication and stakeholder-management skills.
- Excellent organizational and problem-solving abilities.
- Proficiency in MS Office and relevant administrative/facilities management systems.
- Professional certification in Facilities Management, Administration, Business Management or a related field is an advantage.
- Strong knowledge of UAE facilities and administrative practices.
- Experience handling multiple offices, sites or business units.
- Strong vendor and contract management experience.
- Ability to work effectively with senior management and cross-functional teams.
