About the Role

EGIC is looking for an experienced and highly organized Administration Supervisor to oversee and manage the day-to-day administrative operations of the company. The successful candidate will be responsible for ensuring smooth office operations, maintaining administrative standards, coordinating with internal departments and external service providers, and supporting a professional and efficient workplace environment.

Key Responsibilities

  • Supervise and manage the daily administrative operations and activities.
  • Ensure the smooth and efficient operation of office facilities and workplace services.
  • Supervise administrative staff, assign tasks, monitor performance, and provide guidance and support.
  • Coordinate with different departments to identify and fulfill administrative requirements.
  • Manage relationships with external vendors, suppliers, and service providers.
  • Follow up on contracts, maintenance agreements, and administrative services.
  • Oversee office maintenance, repairs, utilities, cleaning, security, and other facility-related services.
  • Ensure that company offices and facilities are maintained according to required standards.
  • Monitor administrative expenses and ensure efficient utilization of resources.
  • Prepare and maintain administrative reports, records, and documentation.
  • Handle procurement of office supplies, stationery, furniture, and other administrative requirements.
  • Ensure availability and proper management of office supplies and equipment.
  • Coordinate company events, meetings, internal activities, and other administrative arrangements when required.
  • Support the implementation and enforcement of company administrative policies and procedures.
  • Ensure compliance with company policies, safety requirements, and applicable regulations.
  • Identify opportunities to improve administrative processes and reduce operational costs.
  • Handle administrative issues and resolve day-to-day operational challenges efficiently.
  • Coordinate with HR, Finance, Procurement, Security, Maintenance, and other departments regarding administrative matters.
  • Maintain a professional and organized working environment across company premises.
  • Perform any other administrative duties assigned by management.

Requirements

  • Bachelor's degree in Business Administration, Management, or any relevant field.
  • 5–8 years of relevant experience in Administration, with at least 1–2 years in a supervisory role.
  • Previous experience in a manufacturing, industrial, engineering, or corporate environment is highly preferred.
  • Strong knowledge of office administration and facility management.
  • Experience in managing vendors, suppliers, and service providers.
  • Good organizational and time-management skills.
  • Strong communication and interpersonal skills.
  • Ability to supervise and motivate administrative teams.
  • Strong problem-solving and decision-making abilities.
  • Good command of Microsoft Office, especially Excel and Word.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong attention to detail and follow-up skills.
