Job Description

  • Job Purpose:

Oversee operational excellence across Modupay's physical workspace by strategically managing Facility infrastructure (MEP, H&S, Assets) and optimizing administrative support services to create a productive and compliant work environment.

  • Key Accountabilities:

Facility Management

  • Building Operations & Maintenance: Oversee the day-to-day operations of the head office building, including the operation, maintenance, and troubleshooting of all Mechanical, Electrical, and Plumbing (MEP) systems (HVAC, generators, UPS, elevators, fire alarms, water pumps, etc.) to ensure 100% uptime and operational efficiency.
  • Space Management & Planning: Develop and implement strategic space utilization plans to accommodate company growth, including office layout designs, workstations allocation, moves, additions, and changes, ensuring optimal use of the premises.
  • Asset Management: Establish and maintain a comprehensive asset register. Manage the full asset lifecycle including procurement coordination, preventive maintenance schedules, warranty tracking, and proper disposal of company assets.
  • Health, Safety and Compliance: Implement, monitor, and enforce strict health and safety policies and procedures. Conduct regular safety inspections and risk assessments. Manage all permits and statutory approvals and ensure timely renewals to guarantee full legal compliance.
  • Vendor & Contract Management (Hard Services): Source, negotiate, and manage contracts with external vendors for hard services (MEP maintenance, civil works, pest control, waste management, etc.). Monitor performance against SLAs and manage budgets effectively.

Administration

  • Soft Services & Occupant Support: Supervise and manage the housekeeping teams to maintain the highest standards of cleanliness and hygiene. Oversee the security team to ensure the safety of personnel and premises, including access control and CCTV monitoring. Act as the primary point of contact for employee requests related to office comfort and support.
  • Transportation Management: Manage the fleet of Head Office drivers and vehicles. Coordinate schedules, oversee vehicle maintenance, fuel management, insurance renewals, and ensure all transportation requests are handled efficiently and professionally.
  • Travel Management (International & Local): Manage end-to-end travel arrangements for staff, including flight bookings, visa processing, hotel accommodations, and local transportation, ensuring cost-effectiveness and adherence to company travel policies.
  • General Administrative Support: Oversee all administrative functions including office supplies procurement and inventory management, mail and courier services, document control, and any other administrative tasks required to ensure smooth daily operations.

  • Skills & Experience

  • Experience: Minimum of 8-10 years of proven experience in Administration & Facility Management, preferably within a corporate, banking, or fintech environment.

  • Technical Knowledge: Strong understanding of MEP systems, building infrastructure, H&S regulations, and permit management processes.

  • Vendor Management: Demonstrated ability to negotiate contracts, manage budgets, and manage third-party relationships effectively.

  • Leadership: Proven experience supervising diverse teams (security, housekeeping, drivers) with a strong focus on service excellence and team motivation.

  • Problem-Solving: Proactive mindset with the ability to handle urgent operational issues and emergencies with minimal supervision.

  • Organization: Exceptional organizational and multitasking skills with high attention to detail.

  • Tech Savvy: Proficiency in asset management tools, facility management software, and standard office applications.
