Job Summary
JOB DESCRIPTION
Provides day-to-day administration, travel, logistics, facilities, and business-support coordination for ADES Production Services. Based in Egypt, the role ensures that employees, visitors, and operational teams receive timely and cost-effective support while maintaining accurate records, invoice and cost visibility, vendor follow-up, workplace readiness, and compliance with ADES policies, approvals, and QHSSE requirements.
Roles & Responsibilities
- Act as the focal point for administrative requests, office access, meetings, supplies, couriers and new-joiner workplace readiness.
- Arrange flights, hotels, visas, airport transfers and local transportation after confirming the required approvals and traveler details.
- Maintain accurate travel, logistics, cost and action trackers and manage changes, cancellations, refunds and urgent requests.
- Validate vendor invoices against approved requests, agreed rates and actual usage and coordinate payment follow-up.
- Coordinate facilities maintenance, cleaning, office moves, seating and general workplace readiness.
- Maintain audit-ready records, monitor vendor service quality and support practical cost-saving initiatives.
Education & Experience
- Bachelor's degree in business administration, Management, Human Resources, Logistics or a related field.
- 2-4 years of experience in administration, travel, logistics, facilities or corporate support.
- Experience coordinating vendors, travel agencies, hotels, transportation providers, Finance and Supply Chain.
- Strong Microsoft Office skills, particularly Excel, Outlook, Word and PowerPoint.
- Excellent English, attention to detail, service orientation and the ability to manage competing deadlines; energy-sector experience is preferred.
