Role Description

We are seeking a professional and well-organized Administrative Assistant (Russian & English Speaker) to join our team. The ideal candidate will be responsible for administrative support, client communication, and daily office operations, ensuring a smooth and efficient workflow within the firm.

Key Responsibilities:

  • Welcome clients and visitors in a professional manner and direct them appropriately.
  • Answer and manage phone calls and emails promptly and professionally.
  • Coordinate appointments, meetings, and lawyers schedules.
  • Prepare, organize, and maintain documents, records, and files.
  • Support HR and administrative functions as required.
  • Assist clients with inquiries and provide accurate and timely information.
  • Handle general office tasks, including scanning, printing, and filing.
  • Ensure reception and office areas are always clean, organized, and presentable.

Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Upper-Intermediate proficiency in Russian.
  • Fluent in English (written and spoken).
  • 13 years of experience in administration or customer service

(experience in a law firm is a plus).

  • Excellent communication and interpersonal skills.
  • Strong organizational, time-management, and multitasking abilities.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Professional appearance with a strong customer-service mindset.
  • Ability to work under pressure and handle confidential information with discretion.
