Established in 1999 under Dubai Chambers, the Dubai Shipping Agents Association (DSAA) represents shipping and maritime agents across Dubai.

The Association serves as a professional platform for collaboration, advocacy, and industry engagement, working closely with key stakeholders such as Dubai Customs, DP World, and other regulatory authorities to support the growth of Dubai's maritime sector.

As part of our continued development and organizational strengthening, we are looking to hire a dedicated Administrative Officer to join our team.

Role Description

This is a full-time, on-site role based in Dubai.

The Administrative Officer will support the day-to-day operations of the Association, ensuring smooth administrative processes and organized record-keeping. The role also includes assisting with basic finance-related tasks such as issuing invoices, tracking payments, and maintaining proper documentation for expenses.

The ideal candidate is organized, detail-oriented, and comfortable handling both administrative and basic financial responsibilities.

Key Responsibilities

Manage general administrative tasks and office coordination

Maintain organized filing systems (digital and physical)

Assist with scheduling meetings and handling correspondence

Issue membership and event invoices

Track payments and follow up on outstanding balances

Ensure all expenses and invoices are properly documented and filed

Support preparation of documents for accounting and audit purposes

Maintain accurate member records and databases

Provide professional communication and support to members and stakeholders

Qualifications & Skills

24 years of experience in administrative roles

Basic understanding of accounting principles (invoicing, expense tracking, reconciliation)

Proficiency in Microsoft Office (Excel required)

Experience with accounting software is an advantage (e.g., Zoho Books)

Strong organizational and time-management skills

High attention to detail and accuracy

Good written and verbal communication skills in English (Arabic is a plus)

Ability to work independently and within a small team

Bachelor's degree in Business Administration, Finance, Accounting, or a related field is preferred.
