Job Profile
An Administrative Procurement Manager is responsible for overseeing and managing the procurement activities within an organization, ensuring that goods and services are acquired in a timely, cost-effective, and efficient manner while adhering to company policies and regulatory requirements. This role often involves both strategic and operational responsibilities, focusing on optimizing procurement processes, managing vendor relationships, and ensuring proper documentation and compliance.

Key Responsibilities:
1. Develop and implement procurement strategies that align with the organization's overall goals and objectives.
2. Analyze market trends and supplier performance to make informed purchasing decisions.
3. Establish long-term procurement plans to meet future organizational needs.
4. Identify and evaluate potential vendors, negotiate contracts, and manage supplier relationships.
5. Ensure suppliers meet quality, cost, and delivery expectations.
6. Monitor vendor performance and resolve any issues related to delays, quality concerns, or compliance.
7. Oversee the creation, approval, and tracking of purchase orders (POs).
8. Ensure timely and accurate delivery of goods and services by liaising with suppliers and internal departments.
9. Manage purchase order documentation and maintain detailed records for audit and reporting purposes.
10. Monitor procurement budgets and track spending to ensure alignment with financial targets.
11. Identify cost-saving opportunities and implement strategies to reduce procurement-related expenses.
12. Conduct cost analysis to evaluate procurement efficiency and value.
13. Ensure compliance with relevant laws, regulations, and internal policies regarding procurement practices.
14. Prepare and maintain procurement reports and presentations for senior management.
15. Conduct audits of procurement activities to ensure accuracy and transparency.
16. Supervise, mentor, and train procurement staff to ensure optimal performance and adherence to procurement processes.
17. Foster collaboration with other departments (e.g., finance, operations, legal) to ensure smooth and efficient procurement operations.
18. Act as the primary point of contact between the procurement department and other internal teams.
19. Oversee contract negotiations, drafting, and execution.
20. Ensure that all contracts and agreements are legally sound, meet organizational needs, and mitigate risks.
21. Review contract renewals and modifications, ensuring compliance with agreed terms.
22. Collaborate with inventory and supply chain teams to ensure sufficient stock levels and avoid disruptions in operations.
23. Monitor supply chain risks and implement contingency plans to address potential shortages or delays.
24. Utilize procurement software and systems to streamline processes, track orders, and manage suppliers.
25. Continuously assess and implement new technologies to improve procurement efficiency.

Skills and Qualifications:
1.Education:
A bachelor's degree in Business Administration, or a related field.
3.Experience:
Typically, 10+ years of experience in procurement or supply chain management, with at least 3 years in a managerial or supervisory role.
4. Skills:
-Strong negotiation and communication skills.
-In-depth knowledge of procurement processes, supply chain management, and vendor management.
-Proficiency in procurement software and Microsoft Office Suite.
-Analytical skills with the ability to assess cost structures, market trends, and supplier performance.
-Attention to detail and a high level of organization.
-Leadership and team management experience.
