Administrative Receptionist in position in leading, well-reputed center for Neurology, Psychiatry, Psychology in Dubai

Summary:

We are seeking a professional, organized, and patient-focused Administrative Receptionist to join our team. In this role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming and professional experience while supporting the smooth daily operations of the center.

The ideal candidate is highly organized, customer-service oriented, and able to manage front desk responsibilities efficiently in a fast-paced healthcare environment. This role requires excellent communication skills, attention to detail, emotional intelligence, and the ability to handle sensitive information with professionalism and confidentiality.

Key Responsibilities:

  • Welcome and assist patients and visitors in a professional and compassionate manner.
  • Manage patient registration, appointment coordination, and patient journey processes in an efficient and professional manner.
  • Handle incoming calls, WhatsApp inquiries, emails, and appointment scheduling professionally.
  • Coordinate and confirm appointments while ensuring accurate patient information is maintained in the system.
  • Provide patients with accurate information regarding services, clinicians, assessments, and clinic procedures.
  • Maintain organized reception and waiting areas to ensure a positive patient experience.
  • Process administrative documentation, patient records, forms, and reports accurately.
  • Coordinate with clinical and administrative departments to support smooth patient flow and daily operations.
  • Handle patient concerns or inquiries professionally and escalate matters when required.
  • Ensure strict confidentiality and compliance with healthcare privacy and administrative policies.
  • Support additional administrative and operational duties as assigned.

Qualifications & Experience:

  • Previous experience in a receptionist, front desk, customer service, or administrative role, preferably within a healthcare or medical setting.
  • Strong communication and interpersonal skills with excellent spoken and written English (additional languages are an advantage).
  • Professional demeanor and strong customer service orientation.
  • Excellent organizational skills and ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office, scheduling systems, and administrative software.
  • Ability to manage sensitive situations with empathy, professionalism, and discretion.
  • Strong attention to detail and commitment to accuracy and confidentiality.
  • Familiarity with healthcare administration and medical terminology is an advantage.
