Job Description
Responsible for the administrative functions of the Director-General's Office, and following up on administrative and organizational tasks, coordinate correspondence and meetings, maintaining records and data, including tracking incoming and outgoing mail, ensuring the printing and proofreading of correspondence, preparing for meetings of the Director General's Office, providing support for the Director General's participation in official duties both domestically and abroad, and other tasks as directed.
- Prepare and draft official correspondence, formal letters, and administrative reports.
- Organize and schedule meetings, appointments, and events related to the Director-General's Office.
- Prepare meeting minutes and follow up on the implementation of recommendations and decisions issued therefrom.
- Receive, register, and follow up on incoming and outgoing correspondence.
- Organizing and maintaining administrative files, documents, and records in both paper and electronic formats.
- Coordinate with internal departments and external entities to complete required transactions and procedures.
- Follow up on compliance with approved administrative policies, procedures, and regulations.
- Prepare reports and presentations .
- Organize and maintain data and information with a high level of confidentiality and accuracy.
- Manage incoming and outgoing communications with a high degree of confidentiality and professionalism.
- Receive and welcome visitors and clients wishing to meet the Director General or the Director-General's Office in accordance with approved professional protocols.
- Provide support and coordination for the Director General's participation in official assignments inside and outside the country, including arranging business trips, travel tickets, hotel bookings, and coordinating access passes for exhibitions and events related to senior management.
- Organize and classify internal reports received from departments, present them to the Director-General's Office, follow up on related decisions and directives, and document and record them in the approved systems and records.
- Organize and coordinate official events, workshops, and visits related to senior management.
- Follow up on hospitality requests and logistical services related to meetings and official office visits.
- Support the preparation of operational budgets for the senior management office when required.
- Receive initial complaints or feedback from visitors and clients and refer them to the relevant concerned units.
- Perform all assigned duties and responsibilities in accordance with the information security policy and maintain the confidentiality of information within the scope of the authority granted.
- Perform any other duties and responsibilities related to the position as assigned.
Qualifications
Academic Qualification and Years of Experience:Diploma (5 years) / Bachelor's degree (0–2 years) of work experience.
Specialization: Office Administration, Public Administration, Public Relations, Business Administration, Management, or any related field .
