Role Overview
You'll run the front desk and keep the office operations tight. Chinese EPC contractors expect speed, accuracy, and discipline. This is not a soft admin role. It's a coordination position supporting engineering, project, HR, and procurement teams.
Key Responsibilities
- Manage front desk. greet visitors. handle calls professionally.
- Coordinate meeting schedules, conference rooms, and internal calendars.
- Prepare and format documents, letters, memos, and reports in line with company templates.
- Handle courier services, incomingoutgoing mail, and document tracking.
- Support visa processing, onboarding paperwork, and HR admin when required.
- Maintain office supplies, inventory, and vendor coordination.
- Assist Project and Engineering teams with filing, documentation, and follow-ups.
- Translate simple EnglishMandarin communication if capable.
- Support QHSE documentation for audits and compliance checks.
- Maintain clean, organised, professional office reception and admin area.
Requirements
- Proven admin or receptionist experience in EPC, construction, or engineering firms.
- Strong communication skills and professional etiquette.
- Mandarin proficiency is a major advantage but not mandatory.
- Competent with MS Office (Word, Excel, PowerPoint).
- Ability to work under Chinese-style fast-paced, disciplined work culture.
- Strong organisational skills and attention to detail.
