About the Role

The role is heavily focused on lastmile delivery operations, with responsibilities involving daily coordination with the thirdparty warehouse, preparing and issuing Delivery Orders, scheduling the Indigo fleet, and ensuring timely release of goods across retail, corporate, and rental divisions. Alongside this, the role also supports core inventory functions, including system updates in ERP system, maintaining accurate stock records, uploading product information, and assisting with regular reporting and stock monitoring to ensure overall inventory accuracy.

Key Responsibilities

Logistics & Delivery Support

  • Enter inbound shipment deliveries into ERP system.
  • Consolidate delivery requests from retail, corporate, and rental divisions.
  • Schedule Indigo fleet trucks based on delivery dates, locations, and manpower requirements.
  • Prepare and send Delivery Orders to the thirdparty warehouse.
  • Issue Delivery Orders to the Fleet Team
  • Curate documentation and prepare gate passes
  • Coordinate with local suppliers for deliveries

Inventory & System Updates

  • Post POs, SOs, and DTFO daily in ERP system.
  • Upload item codes, price changes, discounts, and product details.
  • Extract inventory data from ERP system and update the website accordingly.
  • Upload new products, images, dimensions, and specifications; crop/resize images as needed.
  • Monitor minimum stock levels for locally produced items and notify the Controller when replenishment is required.
  • Assist with website issues such as incorrect images or missing details.

Reporting & Documentation

  • Prepare weekly sales reports and monthly inventoryrelated reports (outofstock, aging, broken collection, productwise sales).
  • Generate adhoc reports requested by management.
  • File all logistics and inventory documents (rental DOs, returns, corporate DOs, POs, retail POs).

Audit & Stock Counts

  • Support quarterly cycle counts and annual stock take.
  • Provide required documentation for internal and external audits.

Qualifications

Ideally you will have a minimum of 2 years experience in an administration role supporting the logistics and inventory team

  • Demonstrates solid experience in lastmile logistics, including delivery scheduling and coordination with warehouse and fleet teams.
  • Highly organized and detailoriented, consistently maintaining high standards of accuracy and work quality.
  • Strong coordination, communication, and documentation capabilities across logistics and operational workflows.
  • Proven ability to manage multiple shipments, priorities, and delivery schedules in fastpaced environments.
  • Handson experience working with international freight processes and liaising with freight forwarders for bookings, routing, and customs clearance.
  • Advanced proficiency in Microsoft Office, particularly Excel (data management, reporting) and Word (documentation).
  • Demonstrates a proactive approach and applies sound judgment when resolving operational or logisticsrelated issues.
  • Performs effectively under pressure while maintaining accuracy, consistency, and attention to detail.
  • Possesses excellent verbal and written communication skills suitable for crossfunctional coordination.
  • Builds and maintains strong collaborative relationships across departments and at all organizational levels.
  • Fluent in English, both written and spoken.
