Job Description

BMC is a Saudi medical college expanding into Dubai. We are looking for a professional, organized, and service-oriented Admission & Registration Officer to support our Dubai campus. The ideal candidate will be responsible for managing the student admission process, document verification, and tuition/financial aid coordination, while ensuring full compliance with UAE regulatory requirements.

Key Responsibilities:
Admissions & Registration:
  • Guide walk-in and online applicants through the full admission process, both in person and by phone.
  • Provide clear and professional information on college programs, requirements, and deadlines.
  • Review and follow up on daily online applications from various platforms.
  • Issue acceptance notifications to eligible applicants and send follow-ups for missing documents.
  • Communicate with applicants families regarding program options and financial support.
  • Prepare provisional acceptances, EFAD letters, and enrollment documents.
  • Follow up on registration fee and tuition transfers with the finance department.
  • Complete enrollment in SIS (Student Information System), including status and type updates.
  • Ensure all students sign undertakings and college agreements prior to enrollment.
  • Support students with visa-related documentation and ensure submission of legal requirements for local and international applicants.
  • Assist with the collection and archiving of student data per UAE data protection laws.
Finance & Aid Coordination:
  • Assist in collecting and reviewing financial aid documents (Daeem, Tamooh, Tamkeen, etc.).
  • Prepare and upload promissory notes, contracts, and acceptance forms in SIS and Odoo.
  • Coordinate with legal affairs and finance for contract validation, filing, and archiving.
  • Follow up on tuition payment schedules and flag overdue accounts to finance.
  • Maintain accurate student finance files and ensure documentation matches system records.
Document Handling & ID Cards:
  • Receive student files and update document submission logs.
  • Follow up on pending items and maintain organized archives.
  • Print, distribute, and activate student ID cards upon file and fee verification.
Student Services:
  • Respond to student inquiries and resolve technical issues (Blackboard, SIS, campus emails).
  • Process official student requests (e.g., hold, withdrawal, reactivation, transcript, study plan, referral letters).
  • Assist with major change requests and update personal information in academic systems.
Compliance & Coordination:
  • Ensure alignment with UAE Ministry of Education and KHDA admission and documentation standards.
  • Maintain confidentiality and accuracy in all student records and files.
  • Comply with UAE Personal Data Protection Law (PDPL) when handling student information.

Requirements

Education: Bachelor's degree in Business Administration, Health Administration, or related field.

Languages: Fluency in English and Arabic is essential.

Experience:
Experience in a higher education institution (preferably in the UAE).
Familiarity with student registration platforms (SIS, Odoo) and government funding systems.

Skills:
Strong administrative and organizational skills.
Excellent verbal and written communication.
Professionalism and attention to detail.
Ability to handle multiple tasks under pressure.
Strong interpersonal skills and commitment to diversity.

Knowledge of:
UAE higher education policies and procedures.
KHDA/MOE admission guidelines.
Visa documentation procedures for students.
