Job Description
Job Title: Assistant Buyer
Department: Procurement / Purchasing
Location: Hospitality Operations
Job Purpose
To support the procurement team in sourcing, purchasing, and managing goods and services required for hospitality operations. The Assistant Buyer will coordinate with suppliers, track purchase orders, monitor inventory levels, and ensure timely delivery of products while maintaining quality and cost standards.
Key Responsibilities
- Assist in sourcing and purchasing food, beverages, operating supplies, equipment, and other hospitality-related items.
- Prepare and process purchase orders in accordance with company policies.
- Liaise with suppliers to obtain quotations, negotiate prices, and follow up on deliveries.
- Monitor stock levels and coordinate with departments to ensure adequate inventory.
- Maintain accurate procurement records, supplier databases, and purchasing documentation.
- Track order status and resolve any delivery discrepancies or supplier issues.
- Compare supplier pricing and recommend cost-effective purchasing options.
- Ensure purchased products meet company quality standards and specifications.
- Support inventory counts and stock audits as required.
- Build and maintain positive relationships with suppliers and internal stakeholders.
- Assist the Procurement Manager with sourcing new vendors and evaluating supplier performance.
- Ensure compliance with company procurement procedures and hospitality industry standards.
Qualifications & Experience
- Diploma or Bachelor's degree in Supply Chain, Business Administration, Hospitality Management, or a related field.
- Minimum 2 years of experience in purchasing, procurement, or supply chain within the hospitality industry.
- Experience working with hotels, restaurants, resorts, clubs, or similar hospitality environments preferred.
- Knowledge of procurement processes, inventory management, and supplier negotiations.
Skills & Competencies
- Strong organizational and administrative skills.
- Good negotiation and communication abilities.
- Proficiency in Microsoft Office, especially Excel.
- Knowledge of procurement and inventory management systems.
- Strong attention to detail and accuracy.
