Position Summary

Job Title: Assistant Director, Admin & HR

Reports To: Senior Director

Position Summary

The Assistant Director, Administration & Human Resources provides leadership and oversight of the organisation's corporate services functions, including human resources, finance, administration, governance support, compliance, and operational resources.

The role ensures that organisational systems, people practices, and resources are effectively managed to support the charity's mission, sustainability, and growth.

As part of a small-medium sized charity, the Assistant Director is expected to balance strategic leadership with hands-on operational management where required.

Key Responsibilities

1. Human Resource Management

. Lead and manage all HR functions, including recruitment, onboarding, performance management, staff development, payroll administration, benefits, leave, and employee relations.

. Develop and review HR policies, procedures, and workforce practices.

. Foster a positive workplace culture and ensure compliance with employment legislation and HR best practices.

2. Finance and Resource Stewardship

. Oversee budgeting, financial reporting, cash flow management, and day-to-day finance operations.

. Maintain sound financial controls and ensure compliance with regulatory, audit, and funding requirements.

. Liaise with auditors, banks, vendors, and relevant stakeholders on financial matters.

3. Administration and Operations

. Lead the organisation's administrative and operational functions to ensure efficient and effective service delivery.

. Oversee procurement, contracts, facilities, asset management, and vendor relationships, including IT services.

. Support business continuity, risk management, and operational improvement initiatives.

4. Governance, Compliance and Information Management

. Ensure compliance with statutory, regulatory, funding, and data protection requirements, including PDPA.

. Maintain effective records management, reporting systems, and internal controls.

. Support organisational reporting, audits, and quality assurance processes.

5. Board and Secretariat Support

. Provide secretariat support to the Board and its committees, including coordination of meetings, papers, and governance records.

. Facilitate timely communication and information flow between Management and the Board.

. Support strategic planning and organisational development initiatives.

. Supervise and develop staff within the Administration and Corporate Services functions.

. Undertake other duties as assigned by the Senior Director.
