Job Summary
Support the CEO and HR functions by managing recruitment, HR operations, compliance, and administrative tasks to drive organisational effectiveness and stakeholder engagement.
Responsibilities
- Manage the end-to-end recruitment process by posting jobs, screening candidates, coordinating interviews, and facilitating onboarding and offboarding including preparing employment documentation to ensure timely and effective talent acquisition
- Administer HR operations by maintaining employee records, managing leave and attendance, supporting performance reviews, coordinating training, and implementing staff welfare initiatives to enhance workforce management
- Maintain up-to-date HR policies, procedures, and documentation to ensure compliance with Singapore employment laws and mitigate legal risks
- Coordinate monthly payroll inputs and collaborate with Finance and external payroll providers to ensure timely and accurate payroll processing
- Manage the CEO's calendar, appointments, meetings, travel arrangements, and correspondence to optimize executive time and priorities
- Prepare meeting agendas, presentations, reports, and minutes, and follow up on action items to support effective decision-making and communication
- Serve as the primary liaison between the CEO and internal departments, Board Members, government agencies, members, and external stakeholders to facilitate smooth communication and collaboration
- Handle confidential information with professionalism and maintain accurate records to protect organisational integrity
- Coordinate Board, EXCO, and committee meetings, as well as organisational events, to support governance and engagement activities
- Provide administrative support to the CEO and assist with strategic projects and organisational initiatives to drive business goals
- Undertake any other duties or projects assigned by Management to support organisational objectives
Qualifications
- Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline
- 2-5 years of relevant experience in Human Resources, Executive Assistant, Personal Assistant, or a similar role
- Good knowledge of Singapore Employment Act and HR best practices
- Experience supporting senior management or C-suite executives will be an advantage
- Excellent written and verbal communication skills with strong interpersonal abilities
- Strong organisational, time management, and multitasking skills
- High level of professionalism, discretion, and ability to handle confidential information
- Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- Proficiency in AI productivity tools (e.g., ChatGPT, Microsoft Copilot, Gemini) to enhance work efficiency is an added advantage
- Ability to work independently, proactively, and adapt in a fast-paced environment
- Proficiency in Hindi and Tamil is an added advantage to effectively communicate with and support a diverse stakeholder base
