Job Description

Reports to: Director, Middle East Studies Center

Purpose: The role oversees the administrative and operational management of the Middle East Studies Center. The assistant to director acts as the primary administrative advisor to the director, managing the center's budget, academic program logistics, e.g. graduate and undergraduate, and student affairs. The role involves high-level decision-making regarding administrative planning, event organization, and the supervision of administrative staff, while also promoting the center's activities to the AUC community and external partners.

Responsibilities:

Administrative Leadership and Operations:

  • Implement a variety of departmental academic and student programs, including monitoring policies and assisting in the development of the Master's (MA) program requirements
  • Manage the operational and capital budgets, ensuring financial resources are allocated effectively
  • Supervise administrative staff and coordinate the daily workflow of the center
  • Act as an advisor to the director on all administrative aspects, providing leadership in planning and execution

Event Management and Communication:

  • Plan and organize the logistics for seminars, talks, and conferences, including venue booking, security clearances, and hospitality
  • Schedule the semester agenda to ensure a consistent flow of activities that enhance the department's intellectual role
  • Handle communication and public relations inquiries from internal and external entities, promoting awareness of the center's initiatives

Student Support and Academic Coordination:

  • Assist the director and faculty advisor in issues pertaining to students, both undergraduate and graduate
  • Manage new student allocation and record-keeping for the MA program
  • Coordinate with graduate fellows and teaching assistants to support the center's academic mission

Additional Related Duties:

  • Perform other related duties as assigned

Requirements:

Minimum Education Requirements:

  • University degree is required
  • A degree in a field relative to the department is an asset

Experience:

  • Minimum of eight years of relevant experience, preferably in an academic setting

Skills:

  • Managerial: Excellent management skills, with demonstrated ability to take initiative and lead
  • Organizational: Extremely well-organized and detail-oriented, with ability to multitask under pressure
  • Communication: Excellent English skills and high level of commitment to customer service
  • Technical: Excellent computer skills, knowledge of SAP is an asset
  • Personal: High level of confidentiality and self-motivation
