Job Description

Rugby School Dubai is seeking an enthusiastic, organised and proactive Attendance Officer to join our thriving school community in November 2026. Based in the school reception, you will lead the day-to-day monitoring and improvement of pupil attendance and punctuality, working closely with teachers, pastoral teams and school leaders. You will also support the reception and administration team, helping to ensure the smooth and professional running of the school.

Responsibilities

Key responsibilities

Attendance monitoring

  • Maintain accurate and up-to-date pupil attendance and absence records.
  • Monitor daily attendance and punctuality, identifying patterns, concerns and unexplained absences.
  • Support the implementation of the school's attendance and punctuality policies and procedures.

Communication and follow-up


  • Follow up promptly with parents and carers about pupil absence and lateness, maintaining clear and professional communication.
  • Work closely with teachers, tutors, Heads of Year, pastoral teams and school leaders to ensure attendance concerns are addressed.
  • Escalate attendance concerns in line with school procedures, including any safeguarding concerns.

Reporting


  • Produce regular attendance reports for staff and school leaders.
  • Identify attendance trends and suggest improvements to attendance processes.

Reception support


  • Provide a professional and welcoming first point of contact for pupils, parents, visitors and staff.
  • Welcome visitors, answer telephone calls and respond to general enquiries.
  • Manage visitor sign-in and sign-out, ensuring safeguarding and visitor procedures are followed.
  • Support the reception team with general administration, correspondence and deliveries.

Qualifications


About you:

Essential

  • Previous experience in an administrative, attendance, pastoral, school office, reception or similar role.
  • Excellent organisational and administrative skills, with strong attention to detail.
  • Confidence using school information management systems, attendance systems and Microsoft Office.
  • Excellent written and verbal communication skills.
  • A strong understanding of confidentiality, safeguarding and child protection.
  • The ability to manage competing priorities in a busy school environment.

Desirable


  • Experience working in a school or educational setting.
  • Experience using iSAMS or a similar school management system.
  • Arabic language skills.

Personal qualities


You will be warm, approachable and professional, with the ability to stay calm in sensitive or challenging situations. You will be discreet, reliable and proactive, using your initiative to solve problems, and flexible enough to balance attendance responsibilities with front-of-house duties. Above all, you will be committed to the wellbeing, safeguarding and progress of every pupil, and to contributing to a welcoming school community.
