1. Role Purpose
The Parts Manager is responsible for the full end-to-end management of spare parts operations at OEM of UAE subsidiary, covering supply chain, inventory planning, pricing, dealer parts business development, and team leadership. This is a critical operational role that directly supports the authorized dealer network's ability to service customer vehicles efficiently and profitably.
2.Key Responsibilities:
2.1 Demand Forecasting & Inventory Planning
- Analyze historical sales data, seasonal patterns, market demand trends, upcoming model launches, and campaign activities to generate accurate rolling parts demand forecasts.
- Develop and maintain a structured inventory policy defining min-max stock levels, safety stock, and reorder points for all part categories - fast-moving, slow-moving, and critical VOR parts.
- Translate demand forecasts into monthly purchase plans aligned with HQ supply lead times, Warehouse capacity, and cashflow.
- Continuously refine forecasting models by monitoring actual vs forecast variance and applying root cause analysis to improve forecast accuracy overtime.
- Coordinate with HQ on new model introduction parts packs ensuring critical parts are in stock before any new model launch or campaign goes live.
- Maintain a model-wise demand profile to anticipate phasing in of new models and phasing out of end-of-life models within the portfolio.
2.2 Purchase Order Management & Supplier Relations
- Generate, review, and release purchase orders to local and HQ in line with the approved forecast, inventory policy.
- Manage supplier lead times, delivery schedules, and order confirmation processes - maintaining active communication with OEM parts logistics and third-party suppliers.
- Negotiate supplier terms where applicable: pricing, minimum order quantities, payment terms, and returns / credit policies.
- Evaluate supplier performance monthly against defined metrics: on-time delivery, fill rate, order accuracy, and defect rate.
- Maintain the supplier database and ensure all supplier master data in the SAP is accurate and current.
2.3 Warehouse & Inventory Operations (PDC)
- Oversee 3PL Parts Distribution Centre operations: receiving, put-away, picking, packing, dispatch, and returns processing.
- Conduct regular cycle counts and annual physical inventory counts — reconcile discrepancies and maintain inventory accuracy above 98%.
- Manage slow-moving and obsolete (SLOB) inventory: identify ageing stock, recommend corrective action (promotion, return to supplier, disposal), and report on progress monthly.
- Implement and enforce hazardous materials handling, storage, and disposal procedures in compliance with applicable UAE regulatory requirements.
- Manage the returns-to-supplier process including warranty parts, overstock returns, and damaged goods claims.
- Lead implementation of warehouse management best practices: FIFO, location management, ABC analysis-based slotting, and safety stock discipline.
2.4 Spare Parts Pricing
- Maintain the national parts price list - ensuring all parts are priced in line with policies, market competitiveness, and distributor margin requirements.
- Conduct regular pricing reviews (minimum semi-annually) comparing against competitor pricing, independent parts suppliers, and market benchmarks.
- Manage price updates in the DMS: ensure timely publication.
- Ensure all promotional and campaign pricing is pre-approved, time-bound, and tracked against commercial targets.
2.5 Dealer Parts Business Development & Training
- Develop and implement a Dealer Parts Business Development Programme - structured support to help each dealer grow their parts revenue, improve their stock management, and reduce urgent orders.
- Conduct regular dealer visits and parts business reviews: review dealer stock health, ordering patterns, fill rate performance, and parts sales vs target.
- Support dealers in setting up and maintaining a structured inventory policy appropriate to their UIO base preventing both stockouts and overstock.
- Manage the dealer parts network target: monthly purchase volume, parts fill rate, urgent order ratio, and days supply - review with each dealer monthly.
2.6 Parts Operations Reporting & Analytics
- Produce monthly business reports for the Director Aftersales and senior management - highlighting trends, risks, and recommendations.
- Develop dealer-level reporting: individual dealer parts KPI scorecards distributed monthly, flagging underperforming dealers for targeted intervention.
2.7 VOR (Vehicle Off Road) Management
- Own the VOR parts escalation process - ensure any vehicle off-road situation receives priority stock allocation and expedited supply within the 48-hour guaranteed resolution window.
- Maintain a VOR tracker updated in real time - monitor open cases, escalate where resolution is at risk, and report VOR closure rate monthly.
2.8 Team Leadership & People Management
- Set individual performance objectives aligned to departmental KPIs conduct regular 1:1 review, quarterly performance assessments, and annual appraisals.
- Identify training and development needs within the team build a development plan for each team member and coordinate with HR and the OEM training function.
- Build a culture of accuracy, accountability, and continuous improvement within the parts department.
3.Qualifications & Experience
- Bachelor's degree in Supply Chain Management, Business Administration, Engineering, or a related field.
- Over 5 years of experience in automotive spare parts management at a distributor or OEM level in UAE.
- Demonstrated experience in demand forecasting, inventory planning, and purchase order management in an established ME Distributor/ OEM Regional Parts Operations in UAE.
- Experience in parts pricing and understanding of price-volume dynamics in an automotive parts UAE market.
- Track record of building and managing a dealer parts network - including parts business reviews, training, and performance improvement.
- Advanced proficiency in Microsoft Excel for data analysis and reporting.
