Essential Functions & Accountabilities:
Entity & statutory administration (Saudi Arabia)
- Maintains the KSA legal entity in good standing — Commercial Registration, MISA license, municipality license and sector/health authority licenses — ensuring all renewals are completed ahead of expiry and no lapse in trading capability occurs.
- Administers government e-services on behalf of the entity (Qiwa, GOSI, Muqeem, Absher/Nafath, Mudad/WPS): employee registrations, iqama and visa processing, contract filings, and monitoring of the entity's Saudization (Nitaqat) position.
- Acts as primary interface with external legal, accounting, audit and service providers; manages the residual outsourced scope, service levels, deliverables and associated invoicing.
- Maintains entity compliance and document records; coordinates internal and external audit and inspection requests.
- Coordinates the collection, validation and consolidation of distributor reporting across the Export Markets network — sell-out, inventory levels and forecast inputs — and produces the consolidated regional reporting pack to a fixed monthly cycle.
- Supports Accounts Receivable and monitors overdue balances by distributor, runs the escalation cadence, and liaises with Finance and Credit Control on collections, credit limits and payment terms.
- Supports the contracting cycle with Legal and the Contracts team — distributor agreements, renewals and amendments — including document flow, version control, signature routing and maintenance of the regional contract register.
- Coordinates the FTI process on its biennial cycle: data gathering, submission preparation, cross-functional follow-up and tracking through to completion.
- Supports the APLCO new product launch process: milestone tracking, market readiness documentation, coordination of registration and supply inputs, and cross-functional follow-up against launch timelines.
- Organizes customer events — professional education center visits, congress participation and in-market activity with distributors — covering logistics, travel, vendor selection, budget tracking and post-event reconciliation.
- Ensures all event and customer engagement activity is executed in line with CooperVision compliance, transparency and expense policies.
- Provides operational and administrative support to the Export Markets commercial team, absorbing recurring administrative workload and releasing field capacity for distributor-facing activity.
- Identifies and drives continuous improvement and simplification of regional administrative and reporting processes.
- Minimum of 5 years experience in business operations, commercial support, or legal entity and government relations administration, preferably within a multinational organisation
- Demonstrated experience of maintaining statutory and licensing compliance for an entity in Saudi Arabia
- Experience of working with distributors or third-party partners, and of consolidating and reporting multi-market data
- Working knowledge of Saudi corporate compliance, licensing and labour requirements, and of the associated government e-service portals
- Able to administer a legal entity end to end and to manage external professional service providers to agreed service levels
- Strong analytical and reporting skills
- Business acumen
- Strong organisational skills
- Strong interpersonal and communication skills
- Highly pro-active and able to work successfully alone as well as within a small, geographically dispersed team
- Discreet and trustworthy, with high levels of integrity when handling confidential commercial, financial and employee data
- Results oriented, with a continuous improvement mindset and a welcoming approach to change
- Proficient in the use of Microsoft Office, in particular Excel for analysis and consolidation; ERP and CRM exposure (SAP, Salesforce or equivalent)
- Fluent in Arabic and English, spoken and written
