Job Summary
The CAFM System Operator is responsible for the day-to-day management, operation, and data integrity of the Computer-Aided Facilities Management (CAFM) system. The role ensures accurate asset data, work order processing, space management, and reporting to support efficient Facilities Management (FM) operations.
Key Responsibilities
CAFM System Administration
- Operate and maintain the CAFM system on a daily basis
- Ensure accurate entry and updating of asset, space, and maintenance data
- Manage user access rights and system configurations (as per authority level)
- Support system upgrades, testing, and implementation of new modules
Work Order Management
- Receive, log, and assign work orders through the CAFM system
- Monitor work order progress and ensure timely completion
- Coordinate with FM teams, contractors, and service providers
- Generate daily/weekly work order status reports
Asset & Space Management
- Maintain accurate asset registers within CAFM
- Update asset lifecycle information (installations, maintenance history, disposals)
- Support space planning and occupancy tracking
- Ensure compliance with FM standards and data accuracy
Reporting & Data Analysis
- Generate KPI reports, dashboards, and performance summaries
- Analyze maintenance trends and highlight recurring issues
- Support management with data-driven decision making
- Prepare monthly FM performance reports
User Support & Training
- Provide CAFM system support to FM staff and end users
- Conduct basic training for new users
- Troubleshoot system issues and escalate technical problems when required
Compliance & Documentation
- Ensure all FM activities are properly recorded in CAFM
- Support ISO 55001 / FM best practices (if applicable)
- Maintain audit-ready records for inspections and compliance reviews
Qualifications
Diploma or Bachelor's degree in Engineering, IT, or Facilities Management. Experience with CAFM Systems (Archibus, Planon, Maximo, etc.). Strong Excel and reporting skills. Basic understanding of Facilities Management operations.
