Job Description

Peninsula Psychology is a new mental health clinic dedicated to providing compassionate, evidence-based care to our community.

We are seeking a professional, empathetic, and highly organized Medical Receptionist to join our team.

As the first point of contact for our clients, you will play a crucial role in creating a welcoming environment and ensuring the smooth operational flow of our clinic.

Key Responsibilities

Patient Coordination: Manage the full patient intake process, including registration, updating records, and guiding clients through their first visit.

Appointment Management: Proactively handle high-volume phone calls, schedule new consultations, and manage rescheduling or cancellations via Unite EMR.

Financial Handling: Manage daily billing, process payments (cash/card), and assist with basic clinic accounting.

Insurance Administration: Prepare, submit, and follow up on insurance claims and pre-approvals specifically within the Dubai healthcare landscape.

Administrative Support: Maintain a tidy front-of-house, manage clinic correspondence (emails/WhatsApp), and coordinate with clinicians regarding their daily schedules.

Waiting Room Management: Ensuring a calm, professional atmosphere for clients arriving for sensitive appointments.

Medical Report Coordination: Assisting doctors in formatting and sending psychological reports to schools or legal entities.

Inventory Tracking: Monitoring office and pantry supplies to ensure the clinic never runs low on essentials.

Confidentiality: Maintain the highest standards of patient privacy and data protection (CDA/DHA compliance) at all times.

Requirements

Experience: Minimum 2 years of experience as a Clinic Receptionist within the UAE.

Language: Fluency in English (both written and spoken) is essential. Arabic speaking is a plus.

Technical Skills: Proficiency in Unite EMR is highly preferred. Experience with Google Workspace is highly valued.

Local Knowledge: Solid experience dealing with major insurance providers in Dubai and a strong understanding of healthcare regulations.

Soft Skills: Exceptional emotional intelligence, a calm demeanor under pressure, and the ability to handle sensitive client situations with discretion.

Preferred Qualifications

Prior experience specifically within a Psychology or Psychiatry clinic.

Familiarity with multicultural communication in a diverse city like Dubai.
