JOB DESCRIPTION

ASSET & EXPERIENCE:

  • Oversee and coordinate procurement strategies across the cluster hotel, ensuring alignment with commercial, operational, and sustainability objectives.
  • Develop, implement, and maintain purchasing policies and procedures that safeguard consistency, compliance, and cost control
  • Handle end-to-end purchasing for all hotel departments, including Engineering, Housekeeping, Kitchen, F&B, Maintenance, Front Office, and Admin.
  • Receive, verify, and process purchase requests from various departments in a timely manner.
  • Source suppliers locally and internationally to obtain quality products and services at competitive prices.
  • Negotiate pricing, terms, and delivery timelines with vendors while maintaining quality standards.
  • Use Oracle Procurement System to manage purchase requisitions, generate purchase orders, track deliveries, and maintain inventory records.
  • Coordinate closely with the Engineering department to procure maintenance supplies, spare parts, tools, and technical equipment.
  • Ensure timely delivery and follow up on pending orders, backorders, or vendor delays.
  • Maintain and update an approved supplier list with performance evaluations.
  • Monitor inventory levels and avoid overstocking or shortages.
  • Conduct periodic market surveys to ensure competitive pricing.
  • Ensure compliance with internal procurement policies and hotel standards.
  • Collaborate with Accounts Payable for invoice matching and timely vendor payments.
  • Maintain accurate purchasing records, contracts, and documentation for audits.
  • Establish and maintain relationships with suppliers, negotiating contracts, terms, and pricing agreements.
  • Develop and implement sourcing strategies aligned with organizational objectives. Analyse market trends, evaluate suppliers, and identify opportunities for cost savings and process improvements.
  • Ensure purchased goods meet quality standards.
  • Generate reports and analytics on purchasing performance. Use data-driven insights for decision-making and improvement.
  • Oversee inventory levels to ensure adequate stock while minimizing excess. Collaborate with inventory teams to forecast demand and streamline replenishment processes.
  • Identify, evaluate, and select suppliers based on factors such as quality, cost, reliability, and sustainability.
  • Monitor procurement budgets, conduct regular cost analyses, and identify opportunities for savings without compromising standards.
  • Ensure all goods and services are procured in line with brand specifications, health and safety regulations, and sustainability initiatives.
  • Build and sustain strong vendor relationships while ensuring competitive bidding processes are applied.
  • Lead audits and compliance checks to ensure procurement standards are consistently met.
  • Train, support, and develop team members involved in procurement processes.
  • Act as the key liaison with Kerten procurement and regional teams, ensuring cluster-level strategies align with brand enterprise practices.
  • Compiles, codes, categorizes, calculates, tabulates, audits, or verifies information or data.
  • Assists Executive Chef in all aspects of purchasing (e.g., Food, Beverage and Controllable) to ensure quality and profitability.
  • Ensuring the accurate reporting of necessary details by the DOF and deputies by supplying all financial requirements and confirming that both financial and procurement policies are adhered to throughout all operational needs.
  • Monitoring and overseeing all CARF and COC documents in relation to their approval prospects and any additional requirements set by Finance,
  • Assists Executive Chef in maintaining/lower budgeted food/controllable costs.
  • Communicates with kitchen, restaurant management and vendors to ensure timing of deliveries satisfies advanced food production needs.
  • Checks invoice on goods received against shipment to ensure quantity, quality, weights and purchase specifications are as ordered.
  • Uses existing computer programs to perform daily and period end food and beverage costs.
  • Ensures all LSOP's are adhered to by all employees.

  • Provide ongoing training and development opportunities to enhance team skills and capabilities.

EXPERIENCE & SKILLS

  • Proven experience in a similar role, managing procurement budgets and tracking spending is essential.
  • Strong understanding of financial principles, including cost analysis, budgeting, and forecasting.
  • Knowledge of relevant laws, regulations, and industry standards governing procurement and supply chain management.
  • Excellent communication and interpersonal skills.
  • Strong problem-solving and data analysing skills, attention to detail, and effective time management skills.
  • Proficiency with procurement software, ERP systems, and Microsoft Office applications, particularly Excel.
  • Strong leadership qualities, including integrity, decisiveness, accountability, and the ability to motivate others.
  • Ability to work independently and meet tight deadlines.
  • Bachelor's degree/diploma in supply chain management, Business Administration, or related field.
