Compliance, Mollak & Customer Service Officer

Discovery Dunes Golf Club is looking for a detail-oriented and customer-focused Compliance, Mollak & Customer Service Officer to join our Homeowners Association (HOA) team.

This is an exciting opportunity for someone who enjoys balancing regulatory compliance with outstanding customer service while playing a key role in supporting one of Dubai's most exclusive private communities.

About the Role

You will be responsible for ensuring compliance with RERA regulations, managing the Mollak system, coordinating service charge administration, and delivering exceptional support to homeowners and residents. You will act as a trusted point of contact for owners while working closely with Finance, Facilities Management, Legal, and regulatory authorities to ensure accurate records, timely submissions, and seamless day-to-day HOA operations.

Key Responsibilities:

• Manage and maintain all HOA records and transactions within the Mollak system.
• Coordinate regulatory submissions, registrations, approvals, and amendments in accordance with RERA requirements.
• Support the preparation and administration of service charge budgets, invoicing, and approvals.
• Work closely with Finance to coordinate billing, collections, and account reconciliations.
• Respond to homeowner and resident enquiries relating to service charges, compliance, and HOA matters.
• Prepare reports relating to compliance, Mollak submissions, customer service performance, and governance.
• Maintain accurate documentation for audits, governance meetings, and regulatory inspections.
• Build strong relationships with homeowners, residents, government authorities, and internal stakeholders.
• Support the Community Manager and HOA General Manager with compliance and governance initiatives.

What Skills & Qualifications Are Required:

• 2–4 years of experience in HOA administration, property management, or real estate compliance.
• Hands-on experience using the Mollak system is essential.
• Strong knowledge of RERA regulations, HOA governance, and service charge frameworks.
• Experience in customer service, owner relations, or stakeholder management.
• Excellent communication and relationship-building skills.
• High attention to detail and strong organizational abilities.
• Proficiency in Microsoft Excel and reporting tools.
• A proactive, solutions-focused mindset with the ability to manage multiple priorities.
