Job Purpose
To ensure adherence to regulatory standards by reviewing Wills within specified KPI timeframes, conducting Will registration and other Ancillary Services (AS) meetings in compliance with the Rules, processing lawyers applications for AS, and serving as a point of contact for handling phone, email, and walk-in enquiries, especially those of a complex nature beyond the scope of the Customer Support Officer.
Areas of Responsibility
- To register Wills, meticulously review them to ensure compliance with legal and regulatory requirements, verifying the accuracy and completeness of all supporting documents submitted.
- Oversee the processing of applications for Wills Draftsmen, Panel of Mediators, Pro Bono lawyers and law firms, and Part I & Part II registrations, ensuring accurate data collection and conducting assessments within specified KPI timelines where required.
- Review and assess documents submitted for notary certification to ensure compliance with applicable Notary Service rules, regulations, and established procedures.
- Manage and facilitate mediation session requests in accordance with relevant Mediation Service Centre rules and criteria.
- Collaborate with the Finance department to address payment-related matters, ensuring timely settlement and issuance of receipts and other finance requests.
- Collaborate with the Digital & Data team and authorised external service providers to resolve technical issues effectively aiming for enhanced client experience and improved service delivery.
- Participate in AS awareness sessions, contribute to the development and delivery of compliance training programs, and offer support and conduct presentations as needed.
- Address complex enquiries over phone, email, or walk-in that fall beyond the scope of the Customer Support Officer, ensuring accurate, timely responses and customer satisfaction.
- Provide comprehensive training and support to new staff members, as necessary, ensuring they are equipped with the knowledge and skills needed for their roles.
- Compile reports and documentation for internal teams and regulatory authorities as needed, ensuring accuracy and compliance with audit standards.
- Execute ad hoc projects as required, ensuring timely completion and alignment with departmental goals.
Education and Qualifications
- Bachelor's degree in Law (preferred), Business Administration, or related field.
- Strong understanding of legal and regulatory requirements.
- Excellent communication and interpersonal skills.
- Exceptional attention to detail and analytical skills.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Certification in compliance or related field (e.g., Certified Compliance Professional) is a plus (preferred)
