Role Description

We are seeking a highly motivated and detail-oriented Contracts Administrator with a Civil Engineering background to join our construction team. The successful candidate will play a key role in managing contractual and commercial matters for high-rise building projects, ensuring compliance with prime contract obligations, subcontract agreements, and project commercial requirements.

This position is ideal for a professional with at least 2 years of experience in contract administration within the building construction sector, particularly on high-rise developments.

Key Responsibilities

Contract Administration

  • Administer and manage prime contracts in accordance with contractual obligations and project requirements.
  • Monitor compliance with contract terms, conditions, and project deliverables.
  • Maintain contract records, registers, notices, and correspondence logs.

Contractual Correspondence

  • Prepare, review, and manage contractual correspondence with employers, consultants, subcontractors, and other stakeholders.
  • Draft formal notices related to claims, delays, variations, and contractual matters.
  • Support project teams in responding to contractual issues and requests.

Commercial Management

  • Assist in project commercial management activities.
  • Evaluate and process subcontractor and supplier agreements.
  • Support procurement and subcontract administration processes.
  • Monitor project costs and financial performance against budgets.

Claims and Change Management

  • Prepare and manage:
  • Extension of Time (EOT) claims.
  • Variation Orders (VOs).
  • Contractual claims and notices.
  • Assist in claim substantiation and negotiations with stakeholders.
  • Track and evaluate the commercial impact of project changes.

Cost Control & Financial Oversight

  • Support project cost control and budget monitoring activities.
  • Review payment applications, valuations, and financial reports.
  • Assist in forecasting project costs and controlling commercial risks.

Project Controls

  • Review and understand project schedules and progress reports.
  • Coordinate with planning teams to assess delays, productivity impacts, and entitlement under the contract.
  • Ensure proper documentation supporting contractual claims and project performance.

Dispute Avoidance & Resolution

  • Identify contractual risks and recommend proactive mitigation measures.
  • Support dispute avoidance strategies through effective contract administration.
  • Assist in resolving contractual and commercial disputes through negotiation and collaborative solutions.

Qualifications & Requirements

Education

  • Bachelor's Degree in Civil Engineering, Construction Management, Quantity Surveying, or a related field.

Experience

  • Minimum 2 years of experience in Contracts Administration within the building construction industry.
  • Demonstrated experience on high-rise building projects.
  • Experience in administering prime contracts and subcontract agreements.

Technical Knowledge

  • Strong understanding of:
  • Construction contracts.
  • Prime contract obligations.
  • Subcontract agreements.
  • Commercial and contract management principles.
  • Extension of Time (EOT) claims.
  • Variation Orders (VOs).
  • Claims management and contract notices.
  • Cost control and financial oversight.
  • Dispute avoidance and resolution techniques.

Certifications (Preferred)

  • Certification in Project Planning/Scheduling (Primavera P6 or equivalent).
  • Certification in Contract Management or Commercial Management is an advantage.

Skills

  • Excellent written and verbal communication skills.
  • Strong contractual drafting and correspondence skills.
  • Analytical and problem-solving abilities.
  • Strong negotiation and stakeholder management skills.
  • Proficiency in Microsoft Office and contract administration tools.
  • Ability to work under pressure and manage multiple priorities.
