Job Purpose
The Contract Administrator is responsible for supporting the effective administration, monitoring, reporting, and closeout of contracts across the Roads project portfolio. The role requires strong contract management, data analysis, reporting, and document control capabilities, ensuring all contract information is accurately maintained across enterprise systems such as Unifier, SharePoint, and contract management platforms. The position will provide commercial support to management through the preparation of executive reports, presentations, and contract performance dashboards while ensuring compliance with contractual obligations and governance requirements.

Job Purpose

Key Responsibilities
Contract Administration & Governance
- Administer contracts throughout their lifecycle from award through to closeout.
- Monitor contract performance, deliverables, milestones, and contractual obligations.
- Support the preparation, review, and tracking of contract variations, claims, extensions of time (EOTs), and final account settlements.
- Ensure compliance with contract administration procedures, governance requirements, and applicable policies.
- Prepare and manage Commercial Review reports and presentations for Chief Projects Officer (CPO) reviews.
- Develop, maintain, and update presentations for Technical Working Group (TWG) meetings and management reviews.
- Produce contract status reports, dashboards, progress updates, and portfolio performance reports.
- Analyze contract data and prepare management reports highlighting risks, issues, opportunities, and key performance indicators.

- Purchase Orders
- Invoices
- Variation Orders (VOs)
- Claims
- Extension of Time records
- Closeout status
- Perform contract data collection and validation across multiple platforms and databases.
- Ensure consistency and alignment of contract financial and commercial information between FFC records and Unifier.
- Monitor contracts approaching completion and closeout.
- Track closeout requirements, outstanding deliverables, final accounts, warranties, securities, and contractual obligations.
- Coordinate with project teams and stakeholders to ensure timely contract closure.
- Prepare closeout status reports and escalate issues that may impact completion.
- Ensure accurate filing, record keeping, and document control within

- SharePoint
- Aconex (where applicable)
- Other contract management systems
- Maintain contract records in accordance with organizational document control requirements.
- Support audits by ensuring contract documentation is complete, accurate, and readily accessible.
Required Qualifications
- Bachelor's Degree in Quantity Surveying, Commercial Management, Construction Management, Engineering, Law, Business Administration, or a related discipline.
- Professional certifications in Contract Management or Commercial Management are advantageous. e.g. MRICS, MCIARB etc.
- Minimum 5-8 years experience in contract administration, commercial management, or project controls within infrastructure, construction, engineering, or major projects.
- Experience managing contract data and reporting across multiple enterprise systems.
- Demonstrated experience preparing executive-level reports and presentations.
- Experience supporting contract closeout activities and final account settlements.
- Strong understanding of FIDIC contracts (preferably FIDIC Red Book and related forms).
- Advanced proficiency in Microsoft Excel and PowerPoint.
- Experience using Oracle Unifier, SharePoint, Aconex, or similar contract management systems.
- Strong analytical and data management skills.
- Excellent document control and record management capabilities.
- Ability to prepare concise and professional reports for senior management.
- Strong communication and stakeholder management skills.
- High attention to detail with excellent organizational and time management skills.
