A European government-backed defense-support organization operating inside a secured naval base in Abu Dhabi. The entity provides procurement, logistics, facility management, and operational support to a foreign military presence in the Emirates. The work environment is structured, disciplined, and requires strict adherence to security protocols.
We are looking for a proactive Emirati local to join our operations team as a Contract & Logistics Support Assistant. The role includes coordinating procurement, supporting facility operations, managing contractors, and assisting with daily logistics tasks across multiple high-security sites.
This position is ideal for candidates who are detail-oriented, organized, and comfortable working within a military-style environment.
Key Responsibilities
1. Procurement & Quotation Coordination
- Receive, extract, and process quotation requests from internal departments.
- Share requests with vendors and follow up until completion.
- Maintain weekly tracking sheets and provide status updates to management.
- Support pre-invoicing and documentation through internal systems.
2. Contractor & Vendor Oversight
- Coordinate with external service providers (maintenance, cleaning, logistics, security).
- Monitor daily service delivery and ensure compliance with contract terms.
- Identify gaps, escalate issues, and propose corrective actions.
- Support administrative tasks related to supplier contracts (renewals, penalties, amendments, etc.).
3. Logistics Coordination
- Assist in the coordination of transport, transit, and delivery operations.
- Track movement of materials, fleet vehicles, and equipment.
- Support special logistics missions (convoy departure checks, air operations assistance).
- Ensure proper documentation, traceability, and communication with stakeholders.
4. Facilities Operations Support
- Conduct routine site inspections and monitor compliance with technical and safety standards.
- Report findings and recommend improvements to enhance service quality.
- Work closely with operations teams to ensure all activities meet military-site requirements.
5. Reporting & Administration
- Maintain organized archives of procurement, logistics, and maintenance documents.
- Prepare periodic operational reports (maintenance logs, procurement updates, HSE summaries).
- Update databases and dashboards (Excel, internal systems).
- Participate in tender preparation: sourcing vendors, drafting specifications, analyzing offers.
Required Qualifications & Skills
- Emirati with a familybook (mandatory).
- Bachelor's degree in: Business Administration, Logistics / Supply Chain, Facilities Management, Engineering Or related fields
- 13 years experience in admin, logistics, facilities, procurement, or coordination roles.
- Strong English skills (spoken & written).
- Proficiency in Microsoft Office (Excel, Outlook, Word).
- Strong communication and stakeholder management skills.
- High accuracy, strong follow-up, and ability to work under structured procedures.
- Ability to adapt to a disciplined, military-style environment.
- Valid driving license preferred.
