Job Title: Corporate Administrator, Assistant Manager/Executive/Junior, Trident Corporate Services (On-site)
Position Reports To: Relationship Senior Manager / Head of Corporate Services
Job Purpose Summary:
We are seeking a highly organised anddetailed-oriented Corporate Administrator to support Trident's Corporate Services team. The successful candidate will oversee and perform file reviews and periodic reviews of client files, statutory records, and compliance documentation to ensure adherence to internal policies, regulatory requirements, AML/CFT standards, and Trident's quality standards. The role will also support company secretarial operations and manage a portfolio of clients as required.
Key Responsibilities and Accountabilities/Duties:
File Review & Quality Assurance
. Conduct independent reviews of client files to ensure completeness, accuracy, and compliance with internal policies and regulatory requirements.
. Review KYC/CDD documentation, beneficial ownership information, risk assessments, screening results and supporting due diligence records.
. Verify that information maintained within client files, statutory records and internal databases is complete, accurate and consistent, and coordinate rectification of discrepancies identified.
. Review statutory records and corporate documents to ensure records maintained accurately reflect information lodged with relevant regulatory authorities.
. Identify documentation gaps, inconsistencies and compliance deficiencies, and coordinate remediation efforts with stakeholders.
. Monitor periodic review schedules and ensure timely completion of outstanding reviews.
. Maintain review trackers and management reports on review status, deficiencies and remediation progress.
. Escalatehigh-risk matters, overdue reviews and material deficiencies to management.
. Support internal audits, regulatory inspections, quality assurance reviews and file remediation exercises.
Compliance & Risk Management
. Ensure compliance with AML/CFT, sanctions, tax transparency and internal risk management policies.
. Review client risk ratings and recommend enhancements where appropriate.
. Assist with the implementation of regulatory changes, policy updates and process improvements.
. Participate in remediation projects, data-cleansing exercises and statutory records housekeeping initiatives.
. Support the maintenance of accurate client data within internal systems and databases.
. Manage ad-hoc projects and tasks as assigned.
Company Secretarial Support
. Provide support on corporate secretarial matters for Singapore entities as required.
. Assist with the preparation and review of directors resolutions, shareholders resolutions, minutes, statutory forms and other corporate documents.
. Maintain statutory registers and corporate records in accordance with regulatory requirements.
. Support the filing of Annual Returns, AGM-related matters, director and shareholder changes, share transfers and other corporate actions.
. Liaise with clients, auditors, tax agents, banks and regulatory authorities where required.
. Assist the Corporate Services team during peak filing periods and operational requirements.
. Provide support on ad-hoc projects, regulatory initiatives, operational improvement exercises, company secretarial matters, and other duties as assigned by management from time to time.
Requirements
. Diploma or Degree in Business Administration, Corporate Administration, Law, CGI/ICSA qualification, or a related discipline.
. 2-6 years of experience in administration, corporate services, company secretarial, compliance, trust, fiduciary, or related fields preferred.
. Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
. Strong attention to detail, with the ability to maintain accurate records, identify discrepancies and work with large volumes of data.
. Good organisational and time management skills, with the ability to manage multiple priorities and deadlines.
. Basic understanding of Singapore corporate regulatory requirements, including ACRA filings and corporate governance matters, would be advantageous.
. Exposure to KYC/CDD reviews, client onboarding, periodic reviews, file reviews, or administrative support functions would be beneficial.
. Familiarity with VPoint or other corporate secretarial systems would be advantageous but not essential.
. Strong communication and interpersonal skills, with the ability to interact effectively with clients and internal stakeholders.
. Able to work independently as well as collaboratively within a team environment.
. Abilityto handle confidential and sensitive information with professionalism and discretion.
. Positive attitude, willingness to learn, and strong sense of responsibility.
. Only Singapore Citizens and Singapore Permanent Residents (PRs) will be considered for this position.
