Job Description

Key Responsibilities:

1. Office & Facility Management

• Manage daily office operations: maintenance, cleaning, utilities, access, parking, visitors, contractors,

supplies, seating, and workplace services.

• Oversee building systems maintenance (HVAC, electrical, plumbing, fire safety).

• Liaise with landlords, service providers, and vendors to ensure quality and compliance.

• Organize company events, meetings, and office functions.

• Communicate office notices, safety info, regulations, holidays, and updates.

2. Health, Safety & Security (HSE) and Business Continuity

• Manage safety programs, inspections, training, fire drills, risk assessments, and emergency plans.

• Maintain emergency equipment, evacuation plans, call trees, and contact lists.

• Support crisis response, evacuation, relocation, and communication during emergencies.

• Investigate incidents and track corrective actions promptly.

• Promote safety awareness and continuous preparedness.

3. Lease & Workplace Projects

• Manage office leases, relocations, renovations, fit-outs, reinstatements, and handovers.

• Oversee vendor coordination, project schedules, approvals, and documentation.

• Ensure timely renewals of leases, permits, insurance, and service contracts.

4. Asset, Residence & Vehicle Management

• Keep accurate records of fixed and controlled assets; manage asset procurement, disposal, and

transfers.

• Support IT asset administration in coordination with the IT department.

• Handle company housing and staff residences: leases, utilities, maintenance, inventories, deposits,

and handovers.

• Manage company vehicles, drivers, parking, insurance, maintenance, registrations, and vendor

performance.

5. Government & Corporate Administration• Manage submissions, renewals, and approvals with government bodies, free zones, customs, civil

defence, etc.

• Ensure validity of trade licenses, permits, lease registrations, customs codes, and gate passes.

• Arrange document certification, attestation, notarization, legalisation, translation, and official

processing.

• Provide company secretarial services, including board/shareholder documentation, resolutions,

regulatory filings, and statutory registers, etc in cooperation with Legal Department.

• Maintain compliance calendar for licenses, permits, contracts, insurance, subscriptions, and

deadlines.

6. Procurement, Vendors & Budget Management

• Prepare and manage internal approval workflows (Ringi), budgets, contracts, quotations, and risk

assessments.

• Support MEA offices with GA approvals and processes.

• Source, evaluate, and manage vendors per company policy.

• Review invoices, coordinate payments with finance / back-office processing, and monitor budgets

and contracts.

• Ensure service quality and identify improvement opportunities.

7. Regional Coordination & Process Improvement

• Serve as key contact for GA representatives across MEA and HQ.

• Plan and coordinate GA meetings, audits /peer reviews, training, manuals, and follow-ups.

• Manage regional projects in facilities, residences, assets, HSE, and business continuity.

• Prepare reports, dashboards, presentations, and management updates.

• Promote digitalization, automation, and process improvements.

8. Records & Administrative Support

• Maintain electronic and physical records of contracts, licenses, assets, inspections, incidents, training,

and payments.

• Support travel, accommodation, transportation, meetings, events, memberships, couriers,

subscriptions, and visitor logistics.

• Provide backup support during absences or peak workloads.

• Perform other duties as assigned within company policies and laws.

Qualifications & Profile

• Experience: 6+ years in General Affairs, facilities, corporate services, government relations, or

similar, preferably in multinational environments.

• Education: Bachelor's degree or equivalent.

• Skills:

• Practical knowledge of facilities, leases, contracts, assets, HSE, government documents, and

budgeting.

• Familiarity with DIFC, JAFZA and/other UAE freezone company operations an advantage.

• Strong Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).

• Fluency in English, with excellent verbal and written communication skills.

• Ability to travel between office locations and regions as required.
