We are seeking a highly professional, polished, and proactive Front Desk Ambassador to serve as the first point of contact for our organization. The successful candidate will oversee front desk operations, coordinate executive schedules, manage corporate administrative services, support finance-related processes, and ensure the smooth day-to-day running of the office.
About the Role
You will play a key role in creating a welcoming and professional environment for clients, visitors, and employees while supporting the leadership team with executive coordination and corporate administration.
Key Responsibilities
Front Desk & Office Administration
- Greet and welcome visitors, clients, and employees with professionalism and exceptional customer service.
- Manage incoming telephone calls, emails, courier deliveries, and general correspondence.
- Maintain an organized reception area and ensure meeting rooms and common areas are presentable at all times.
- Coordinate office supplies, stationery, and general administrative requirements.
- Handle incoming and outgoing mail and maintain office records and filing systems.
Executive & Meeting Coordination
- Manage the CEO's calendar, appointments, and meeting schedules, ensuring efficient time management.
- Coordinate internal and external meetings, including boardroom bookings, agendas, meeting materials, and hospitality arrangements.
- Assist with travel bookings, accommodation, and itinerary coordination when required.
- Support executive communications and follow up on action items to ensure timely completion.
Corporate Services & Finance Support
- Prepare, process, and raise invoices while coordinating with the Finance team to ensure timely payment processing.
- Assist with purchase requests, vendor coordination, and procurement administration.
- Maintain corporate documentation, records, and confidential files in accordance with company policies.
- Support administrative activities related to compliance, governance, and corporate services.
- Assist with office events, employee engagement initiatives, and other administrative projects as required.
Qualifications & Experience
- Bachelor's degree in Business Administration or a related discipline.
- Minimum of 3 years of experience in a front desk, executive administration, office management, or corporate services role.
- Excellent verbal and written communication skills in English; Arabic is an advantage.
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail with excellent problem-solving and time management abilities.
- A customer-focused mindset with exceptional interpersonal and relationship-building skills.
