We are looking for a Creative Agency Operations Manager to join our customer's Global Digital Marketing team through Intellias on a staff augmentation basis.
This is the role that makes everything else possible. The Creative Factory is a fast-growing internal agency serving internal clients across 90+ markets. You are the bridge between the project management team and the creative team — the traffic control and production lead that eliminates ambiguity, prevents missed timelines, and allows the team to deliver professional, high-quality work consistently.
You bring a startup mindset — proactive, structured, and bias to action — with the agency operations backbone to run a complex, multi-discipline creative function at scale.
Project Overview:
Our customer's Creative Factory operates as a growing team of specialists across creative, production, and coordination functions, serving market teams and business stakeholders across a global footprint. The Operations Manager reports directly to the global marketing creative operations lead and sits alongside the Creative Director as part of the leadership core.
The workflow is Jira-based, the cadence is sprint-driven, and the client base is internal. As the in-house agency expands and workstreams grow in complexity, this role owns the daily operations and processes that will allow the Creative Factory to achieve its ambition of becoming the agency of choice.
Requirements:
Must-have
Bachelor's degree in marketing, communications, or a related field
Minimum 5 years of experience in marketing communications, project management, and agency production. Previous experience working within an advertising or creative agency is required — a background purely in corporate project management, without agency exposure, does not meet this requirement
Solid understanding of branding, marketing, and creative development, gained through close collaboration with creative teams — hands-on copywriting or design production is not required, but the candidate should understand creative work well enough to scope, brief, and quality-check it
Working familiarity with digital marketing, AI tools, and media production workflows — direct experience within a digital media or production environment is a strong plus, but familiarity gained through adjacent project management work is acceptable
Strong Jira proficiency: workflow configuration, sprint planning, and backlog management for a multi-discipline team
Excellent communication, negotiation, and interpersonal skills — able to manage expectations across creative and non-creative stakeholders
Proactive, action-oriented approach: improves processes without being asked, spots problems early, moves fast
Highly organized with strong attention to detail and ability to manage multiple priorities under tight deadlines
Experience with scoping, financial tracking, and risk management in a production context
Strong English — able to communicate clearly with both creative specialists and non-technical business stakeholders
Nice-to-have
Experience with internal rate card or chargeback models
Familiarity with the full creative production lifecycle: design, video, copywriting, UI/UX, web development
Direct, hands-on experience within a digital media or production environment
Experience in a B2B or regulated industry environment

Responsibilities:
Workflow and intake management
Own the end-to-end project workflow: intake, scoping, scheduling, delivery, close-out, and feedback loop
Ensure every request follows a structured, predictable path through the project management system (Jira) with the correct documentation at each stage
Triage and prioritize incoming briefs in alignment with capacity and strategic importance
Set a fast-track process for straightforward, quick-turnaround work — making small budgets and rapid timelines work without sacrificing quality
Communication and negotiation
Understand the needs of both the project management team and the creative team, managing expectations and priorities of both — often requiring strong negotiation skills
Act as the go-between between project management and creative, removing operational load from designers, developers, editors, and strategists
Act as main point of contact for external creative vendors: freelance designers, agencies, and copywriters
Build trusting, reliable, and collaborative relationships within the Global Digital Marketing team and local marketing teams
Recognize potential problems early and take prompt action to meet client expectations and business requirements
Capacity and time management
Maintain full visibility of hours logged and capacity available across the Creative Factory team
Schedule work against real resource data, coordinating across all disciplines: design, copy, video, UI/UX, and development
Communicate workload status proactively to the creative team and internal clients, setting clear expectations from the start
Provide the creative team with weekly task plans and timelines based on set priorities
Quoting and client liaison
Scope and quote every request before work begins, applying the internal rate card consistently
Manage client expectations and ensure sign-off on scope before production starts
Act as the primary operational point of contact for internal clients across markets — responsive, organized, and solution-oriented
Reporting and continuous improvement
Track overall productivity, resourcing needs, delivery metrics, and client satisfaction on a weekly basis
Feed analytics and performance data back into the workflow to support continuous improvement
Identify bottlenecks and propose process solutions to improve throughput and quality
