Job Description

Job Summary:

  • Crew Scheduler's main role is to manage crew rostering and assignments according to the rules and regulations and to assist the operation activities by arranging crew required services. Also, the crew scheduler's goal is to optimize resources and minimize costs. Since there is no computationally straightforward way to do this, he/she must rely on critical thinking and consider various factors, such as crew member preference, government regulations, and flight requirements. Taking into consideration possible weather, air traffic, and operational disruptions and plan accordingly to avoid delays. The nature of the job is often to spend most of the time in front of multimonitor computers, and often working during the day, evening, and night shifts also during weekends.

Main Responsibilities:

  • Prepare Schedules The primary responsibility of the crew scheduler is to prepare and plan schedules for the aircrew.
  • He/she must examine diverse criteria such as roster type, plane capacity, seniority, sick and holiday leaves, and employee preference, then send out finalized schedules as printed lists.
  • Handle Adjustments Harsh weather, mechanical disruptions, and unexpected sickness among crew members are common incidents that cause flight delays.
  • Crew scheduler must adapt to these situations and update schedules accordingly. In addition, they must notify the concerns about any issues or changes in a timely manner.
  • Monitor Flight Operations / Crew Duty Limitation Crew scheduler should monitor flight operations, tracking the plane's progress and recording the amount of time crew members work so as not to exceed duty time limitations as per the General Authority of Civil Aviation (GACA).
  • Crew Services Arrangements Crew Scheduler responsibility to arrange all required operational services for the crew, including hotel, transportation, ticketing services.
  • Monitor Crew Activities Crew Scheduler should monitor all crew operational-related activities including reporting to duty, training, sick leave, emergency leave, days off, medical appointments, and all related activities which may affect the operation and crew schedule.
  • Ensure Compliance When assigning tasks and schedules, crew schedulers must ensure that all flight processes are in compliance with GACA regulations, department policies, and contract requirements.

Crew Scheduler Skills and Qualifications :

  • Knowledge of Commercial/ General Aviation operations crew scheduler must be knowledgeable about ground operations, common issues, schedule planning, and GACA regulations. On a practical level, they should be comfortable using complex, multiscreen software
  • Decision-making from choosing crew members for specific flights to dealing with delays, the crew scheduler makes several important decisions every day, and they should be capable of standing by these choices and communicating them to other staff.
  • Problem-solving skills crew scheduler often face real-time problems that require immediate resolution, so he/she should be a critical thinker who can gather information from other staff and pinpoint an efficient solution even under pressure
  • Multitasking it's important for crew schedulers to be good at multitasking and maintaining focus even as they oversee several ongoing flights and crew members simultaneously
  • Interpersonal skills whether providing updates or assisting in high-stress situations, crew scheduler must cultivate good working relationships with crew members, especially those whose schedules they manage
